Basic Position Summary
Q2 Artificial Lift Services is looking for a dependable and highly organized individual to join our Estevan team as a Part-Time Operations Support Administrator. This position is ideal for someone who enjoys working in a fast-paced environment, takes pride in staying organized, and is looking for a flexible work schedule.
Basic Employee Responsibilities

Position Specific Responsibilities
- Provide administrative support to operations, ensuring efficient workflow and effective communication.
- Assist with the preparation, processing, and maintenance of operational documentation, reports, work orders, and service records.
- Coordinate and support customer service activities, including responding to inquiries, directing requests, and facilitating communication between customers and internal departments.
- Process customer orders, service documentation, purchase requisitions, and other operational paperwork as required.
- Maintain accurate electronic and physical records, ensuring documentation is complete, organized, and readily accessible.
- Assist with inventory-related administration, including data entry, inventory tracking, adjustments, and reporting.
- Support scheduling and coordination of field service, shop activities, equipment movement, and operational resources.
- Prepare shipping, receiving, and transportation documentation as required.
- Assist with vendor communications, invoice processing, purchasing support, and other administrative transactions.
- Compile, track, and distribute operational reports, metrics, and performance-related information.
- Support employee onboarding, training administration, and documentation as required.
- Ensure data entered into company systems is accurate, timely, and consistent with established procedures.
- Maintain confidentiality of company, employee, and customer information.
- Provide reception, office administration, and general clerical support as required.
Minimum Required Qualifications
- High school diploma or equivalent required.
- Post-secondary education in Business Administration, Office Administration, Accounting, or a related field is considered an asset.
- Minimum 2-3 years of administrative experience in an industrial, manufacturing, oil and gas, service, or related workplace preferred.
- Strong organizational, multitasking, and time management skills.
- Proficient in Microsoft Office applications, including Outlook, Word, Excel, and Teams.
- Strong data entry and record management skills with a high level of accuracy and attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently while also contributing effectively within a team environment.
- Ability to manage confidential information with discretion and professionalism.
- Strong customer service and relationship management skills.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
Physical Demands
- Frequent use of computers, office equipment, and communication devices.
- Ability to sit for extended periods while performing administrative duties.
- Occasional standing, walking, bending, and lifting of office materials up to 25 lbs (11 kg).
- Occasional visits to shop, warehouse, yard, or operational areas requiring the use of personal protective equipment (PPE).
- Ability to work in a fast-paced operational environment while managing multiple priorities.
