Department: Medical Affairs

Reporting to the Manager of Medical Affairs, the Program Assistant will join the Medical Affairs team and provide a wide range of administrative and coordination services, with a particular focus on supporting the Hospital’s physician recruitment & retention activities. Key responsibilities include, but are not limited to:
Preparing and maintaining professional staff job postings
Maintaining the updating Hospital’s physician recruitment website
Coordinating interviews, site visits, meetings, and recruitment events.
Coordinating travel arrangements and itineraries for physician candidates.
Maintaining accurate physician recruitment databases, spreadsheets, and electronic files.
Supporting the preparation of the annual Professional Staff Human Resources Plan
Processing physician payments in accordance with established processes and procedures
Scheduling meetings and maintaining calendars
Assisting Medical Affairs team with the onboarding of current professional staff, including orientation activities
Providing administrative support to hospital committees as assigned
Collaborating with the Medical Affairs team to support ongoing initiatives and the implementation of new departmental initiatives
Performing general clerical and administrative duties and other related tasks as assigned
QUALIFICATIONS Certification/Experience/Knowledge
Successful completion of a College Diploma in office/medical administration, business administration, human resources or a related field
Minimum two (2) to three (3) years recent office administration or human resources experienced,
preferably in a medical/hospital setting required
Experience working with physicians preferred
High level of computer proficiency (Microsoft Word, Power Point, Excel)
Computer literacy
Valid G driver's license
Skills/Abilities
Highly organized, reliable, and collegial, with the ability to work independently and with minimal supervision
Demonstrated initiative, sound organizational skills, and the ability to effectively manage projects and workload
Strong verbal, written, and interpersonal communication skills, with the ability to handle confidential and sensitive information in a professional and discreet manner
Excellent time management skills, with the ability to be flexible, responsive, and adaptable in a fast-paced environment
Ability to manage multiple tasks, meet tight deadlines, and effectively prioritize competing demands
Demonstrated good attendance and work record
Commitment to supporting and contributing to a culture of safety and the prevention of adverse health events within the organization
Bilingualism (Advanced level English/French) is an asset
