Existing Regular Continuing Full-Time (Budget Funded)Full-time: YesPermanent: YesWork schedule: 35 Hours/week (Monday to Friday, 8:00 am to 4:00 pm)Salary: $26.62 to $36.41 per hour ($48,448.40 to $66,266.20 per annum)Expected Start Date July 6, 2026QualificationsMinimum Formal Education/TrainingCompletion of a formal training program in a related discipline from a recognized institute is required.A related diploma or further education would be an asset.ExperienceFour years of directly-related experience in administration of a University clinical department position is required.Multi-site clinical scheduling experience is an asset.An acceptable equivalent combination of education and experience may be considered.Skills and AbilitiesKnowledge of medical terminology is an asset.Knowledge of University and/or WRHA policies and procedures is an asset.Excellent oral and written communication skills are required.Must be able to demonstrate proficiency in using advanced Microsoft software applications including Word, Outlook, PowerPoint, Excel and Access programs.Must have excellent interpersonal skills and must be able to multitask.Must be a diplomatic and proactive individual with ability to problem‑solve.Must be able to complete tasks with accuracy.Must be capable of working with a high level of autonomy and minimal supervision.Must have ability to set priorities within the scope of responsibility and ensure deadlines are met and projects/tasks are completed in a timely fashion.Valuable judgment and discretion in dealing with confidential matters is required.Proven ability in committee responsibility including minute‑taking is required.Satisfactory work record, including satisfactory attendance and punctuality, is required.ResponsibilitiesAct as a central point of reference for general academic inquiries pertaining to postgraduate medical education related to the Program.Responsible for completion of appointment, reappointment and termination of residents.Develops,
implements and participates in the recruitment of residents to the program.Maintain and organize CaRMS or other applicable website and files.Coordinate CaRMS or other applicable interviews for applicants.Coordinate interviews for sponsored trainees and/or fellows.Access and export trainee application files and complete initial file review for completeness of applications.Assists in the development of surgical education orientation for the incoming surgical postgraduate trainees.Develop and maintain program specific orientation manuals for both home program residents and off‑service trainees.Coordinate and approve all vacation, conference and other leave requests for postgraduate trainees.Prepare, manage and distribute annual rotation schedule for program residents including off‑service residents, elective residents, medical students and physician assistants where applicable.Prepare call schedule templates for completion and distribution by the section administrative staff and Chief Resident.Prepare, manage and distribute academic teaching schedule, simulation session schedules and anatomy session schedules.Prepare, manage and distribute Section Rounds including assigning faculty.Provide first point of contact for a resident in minor or major distress or difficulty.Coordinate meeting schedules, record minutes and manage action items for distribution and completion for the Residency Training Committee (RTC).Coordinate meeting schedules, prepare resident(s) CBD reports for review, record minutes and distribute reports for the Program Competence Committee.Coordinate semi‑annual meetings and attend meetings the Program Director and Residents, preparing reports for discussion and follow‑up assessments.Prepare the program for both internal and external accreditation in coordination with the Program Director and Manager,
Surgical Education.Coordinate and facilitate onsite internal and external accreditation visits.Manage and execute annual Resident Research Day.Prepare and execute OSCE examinations.Prepare annual Journal Club schedule and distribute information.Facilitate the in‑house training examinations.Coordinate and disseminate assessments for residents within the Program.Ensure that Program Goals and Objectives are up‑to‑date and reviewed annually.Assist and manage development of program specific policies.Assist with documentation of performance assessments of residents in difficulty, ensuring that University timelines are adhered to and documentation is submitted accordingly.Coordinate Faculty assessments in collaboration with the Manager, Surgical Education.Manage resident and faculty awards within Program.Prepare correspondence on behalf of the Program Director for signature as well as prepare correspondence for own signature.Review and approve all medical student electives submitted from the surgery undergraduate office.Maintain program specific setup in electronic management system including assessments, evaluations and program specific communities.Complete travel requisitions and invoice submissions related to expenses and reimbursements within Program.Assist the Program Director in the development and implementation of teaching curricula.Assist with obtaining funding for special projects.Maintain program specific information on Departmental webpage.May be required to perform related duties not exceeding skills and capabilities as required.Additional InformationThe University of Manitoba is committed to the principles of equity, diversity & inclusion and to promoting opportunities in hiring, promotion and tenure (where applicable) for systemically marginalized groups who have been excluded from full participation at the University and the larger community including Indigenous Peoples, women, racialized persons, persons with disabilities and those who identify as 2SLGBTQIA+ (Two Spirit, lesbian, gay, bisexual, trans, questioning, intersex, asexual and other diverse sexual identities).Application materials, including letters of reference, will be handled in accordance with the protection of privacy provisions of "The Freedom of Information and Protection of Privacy Act" (Manitoba).
