Duties and Responsibilities:
The key job functions are:
- Assist senior staff (C-suite executives, directors, and other leaders) with comprehensive calendar management, meeting and presentation preparation, drafting and responding to correspondence, processing expense reports, and making complex travel arrangements.
- Handle sensitive and confidential documents, files, records, and contact information with a high degree of discretion, professionalism, and integrity.
- Organize board meetings, including scheduling, preparing agendas, compiling and distributing meeting materials, recording meeting minutes, and tracking follow-up actions.
- Coordinate both business and personal events such as company functions, executive retreats, and special celebrations, ensuring all logistical details are handled seamlessly.
- Provide general administrative support across various departments, assisting with project administration, file management, and internal communications as needed.
- Support administrative staff with overflow tasks and project work, contributing to a cohesive and efficient administrative team environment.
- Perform other duties as assigned, demonstrating a willingness to take initiative and support the evolving needs of the organization.
Qualifications:
- Successfully complete a criminal and credit check.
- Valid drivers licence and reliable vehicle.
Experience:
- 3-5+ years' personal/executive assistant experience is required.
Skills:
- Confident, poised, and professional when interacting with executives, colleagues, and external partners.
- Excellent communication skills, both written and verbal, with the ability to craft clear, concise correspondence and reports.
- High attention to detail and strong organizational skills, ensuring accuracy and efficiency in all tasks.
- Energetic and positive demeanour, consistently taking pride in delivering high-quality work.
- Exceptional relationship-building skills, with an approachable and collaborative style.
- Flexible and adaptable,
able to shift seamlessly between priorities and thrive in dynamic environments.
- Proactive, with a keen ability to anticipate needs, address challenges early, and find effective solutions.
- Strong sense of confidentiality and discretion, with an unwavering commitment to protecting sensitive information.
- Flourishes in a fast-paced environment, maintaining composure and professionalism under pressure.
Base Salary: $70,000-95,000+ per year
- Temporary placements range from $30.00-$50.00 per hour, based on experience, qualifications and job requirements.
- Temporary and Contract employees are pay-rolled weekly via direct deposit.
Work Hours:
- Full-time and part-time Personal Assistant opportunities are available.
- Full-time positions are generally scheduled for up to 40 hours per week, with additional on-call availability as required.
- Part-time positions are based on the specific needs of each client and may include on-call or as-needed hours.
Additional Notes:
- This opportunity does not include relocation. It will be the responsibility of the candidate should relocation be required.
