Renovation | Vancouver, BC | Hybrid
$28–$35/hour | 20–30 hours/week to start | Room to grow into full-time
We’re a growing Vancouver renovation company looking for someone to work closely with the owner and help manage the day-to-day details behind our projects and business.
This role is a mix of administration, basic bookkeeping and project coordination. You’ll be communicating with clients and trades, keeping paperwork and payments organized, coordinating schedules and orders, and making sure the details don’t get lost along the way.
We’re looking for someone who is organized, dependable and comfortable taking initiative. You don’t need years of experience, but you do need to be willing to learn, ask questions and take ownership of your work. Experience working with trades and in the renovation space is a huge asset!
There’s a lot of opportunity to grow here. The position will start part-time, with the expectation that it will move toward full-time as the company grows. For someone interested in the trades on the backend, there’s a real opportunity to learn the industry, take on more responsibility and eventually move into project or operations management.
What you’ll actually be doing
Admin & bookkeeping
- Track expenses and project costs
- Help with accounts payable and accounts receivable
- Complete basic bank reconciliations
- Review trade and supplier invoices and make sure they match the work completed
- Coordinate payments to trades and suppliers
- Review and send estimates
- Create and send change orders
- Answer phones and emails
- Keep project files and information organized
- Help build and maintain better systems as the company grows
Keeping projects moving
- Communicate with clients, trades and suppliers
- Order materials, fixtures and other project items
- Help coordinate schedules
- Follow up when we’re waiting on information, materials or people
- Keep track of changes, deadlines and outstanding items
- Make sure the right information gets to the right people
- Help the owner stay ahead of what’s coming next
- Occasionally visit project sites or meetings in person
Working directly with the owner
- Keep track of priorities, reminders and follow-ups
- Help with occasional personal assistant tasks
- Catch the little things before they become big things
- Take something from “we need to deal with this” to “it’s handled”
- Speak up when something doesn’t make sense
- Ask questions instead of guessing
You’ll probably be valuable at this job if… You’re naturally organized. You like lists, follow-ups and knowing where things stand.
You have some basic bookkeeping, accounting or office administration experience. We aren't looking for an accountant, but AR, AP, and bank reconciliations shouldn’t be completely new to you.
You’re comfortable talking to people over the phone and in writing. That includes clients, trades, suppliers and occasionally someone who needs a polite reminder that we’re still waiting for something.
Trades or renovation experience is excellent, but it’s not a requirement. We’d rather hire someone smart, reliable and eager to learn than someone who has every buzzword on their resume but needs to be told what to do next.
Where this can go
We’re hiring for 20–30 hours per week to start, but this company is growing quickly and we expect the position to grow with it.
As the role becomes full-time, the plan is to move it into a salaried position with benefits.
You’ll be working directly with an experienced renovation professional and learning how projects are actually run — from what happens on site to everything behind the scenes that keeps jobs organized, profitable and moving forward.
For someone who wants to build a career in renovation but hasn’t had the opportunity to get their foot in the door yet, this could be it.
A few important details
This is a hybrid role and will be mostly remote, but our projects are primarily in Vancouver and there will be times when we need you to go to a job site or an in-person meeting.
You also need to be available during regular working hours.
This isn’t a role where you can save everything for evenings and weekends. Our clients, trades and suppliers are working during the day, and we need someone available when the work is happening.
We’re looking for someone who can start right away.
