About Us

Water Softener Edmonton is a growing water treatment company providing residential and commercial water softener, filtration, reverse osmosis, and water treatment solutions throughout Edmonton and surrounding areas.

We are looking for a reliable, organized, and friendly Office Administrative Assistant / Dispatcher to join our team. This person will play an important role in keeping our day-to-day office operations running smoothly while coordinating customers, technicians, sales staff, equipment, and appointments.

Experience working in an HVAC, plumbing, electrical, construction, home-service, or service-dispatch office is a strong asset, but we are willing to train the right candidate.

Responsibilities

Your day-to-day responsibilities will include:

- Answering incoming phone calls and taking detailed customer messages
- Responding to customer text messages and general inquiries
- Monitoring and responding to company emails
- Booking and scheduling service calls
- Dispatching and coordinating technicians and installers
- Confirming appointments with customers
- Calling recent and existing leads and booking appointments for our sales team
- Following up with customers who have requested information or quotes
- Handling walk-in customers professionally and assisting with basic inquiries
- Ordering water treatment equipment, filters, parts, salt, and other supplies
- Coordinating equipment and materials required for upcoming installations
- Communicating schedule changes between customers, technicians, installers, and sales staff
- Updating customer records, notes, appointments, and lead information in our CRM




- Creating and updating service requests and work orders
- Keeping track of outstanding customer follow-ups
- Assisting with invoices, estimates, receipts, and basic paperwork as required
- Maintaining organized digital and physical customer records
- Receiving deliveries and ensuring equipment and parts are properly recorded
- Helping monitor office and showroom inventory
- Providing general administrative support to management and the sales/service teams
- Keeping the front office and customer area organized and professional
- Completing other miscellaneous office and administrative duties as required

What We're Looking For The ideal candidate is someone who is:
- Friendly, professional, and comfortable speaking with customers
- Confident answering phones and making outbound customer calls
- Highly organized and able to manage multiple tasks at once
- Comfortable working in a busy service-based office
- Dependable and punctual
- Detail-oriented when entering customer information and scheduling appointments
- Comfortable using computers, email, text messaging, calendars, and CRM systems
- Able to communicate effectively with customers, technicians, installers, sales representatives, and management




- Able to prioritize urgent service calls while keeping the daily schedule organized
- Comfortable learning basic information about water softeners, reverse osmosis systems, filtration equipment, and service procedures

Qualifications
- Previous administrative, receptionist, customer service, or dispatching experience preferred
- HVAC, plumbing, electrical, construction, or home-service office experience is a strong bonus
- Previous dispatching or technician scheduling experience is an asset
- Previous sales lead follow-up or appointment-setting experience is an asset
- Strong verbal and written English communication skills
- Good computer and typing skills
- Experience with CRM or scheduling software
- Experience with GoHighLevel or similar CRM software is a bonus
