Front Office Coordinator — Service Advisor / Office Administrator

About the role

We're a busy independent repair shop and used-car lot looking for one organized, people-first person to run our front office. You'll be the first voice customers hear and the one who keeps work orders, paperwork and books moving. If you like variety — one hour writing an estimate, the next reconciling accounts or photographing a car for listing — this is your seat.

What you'll do

Service advising (~25%)

- Book and schedule repairs
- Open and manage work orders
- Write estimates and invoices
- Order parts and communicate with vendors and suppliers

Office administration (~35%)

- Answer phones and greet customers
- Process payments
- Handle licensing and registration paperwork
- Follow up with customers on approvals, status and service reminders

Bookkeeping (~20%)

- Daily entry, receivables, payables, reconciliations and record-keeping
- Our system is largely automated — the previous day is closed out each morning before the day gets busy

Dealership support (~5%)

- Help manage lot inventory
- Photograph and list vehicles online
- Respond to buyer inquiries

The remaining ~15% flexes to commission making time.

What we're looking for

- Post-secondary diploma or degree, or equivalent hands-on experience
- Automotive knowledge — you can talk brakes,



tires and timing belts with a customer without guessing
- Customer service experience, in person and on the phone
- Bookkeeping experience (QuickBooks or similar an asset)
- Comfortable with office software and shop management systems
- Organized under pressure — the phone rings while the estimate is half-written

Schedule

- Monday to Friday, 9:30am–6pm (8.5-hour days)
- Two 30-minute breaks daily (one paid, one unpaid)
- 40 paid hours per week
- Start date: September 21, 2026

Pay

- $22–$24/hour to start, depending on experience
- $25–$28/hour after successful completion of a 3-month probationary period, depending on experience
- Permanent full-time position following successful probation

Commission, on top of hourly

- Tires — 5% of sale price (before tax)
- Vehicles — 1.5% of sale price (before tax), to a maximum of $300 per car
- Referrals — 10% of the repair, to a maximum of $100 per new customer's first visit
- Customer revisits — 2% of repair cost (before tax)
