POSITION DESCRIPTION:

BUSINESS SERVICES MANAGER, TEMPORARY FULL-TIME (1.0 FTE)

We are currently inviting applications for a temporary full-time Business Services Manager. This position will commence as soon as possible and is a one-year temporary assignment with the possibility of an extension.

POSITION OVERVIEW:

This position will direct and coordinate the day-to-day operations of four auxiliary enterprises that support the educational, social, and cultural aspects of Southridge School.

DUTIES and RESPONSIBILITIES:

Uniform Shop

- Assist in creating and implementing a strategic vision for the school retail operations, including school uniforms and branded merchandise
- Support the day-to-day operations of the uniform shop by being available to process transactions and student fittings during store hours
- Manage inventory of stock, ensuring accuracy of inventory levels and costing
- Set up and administer retail management point of sale system and maintain the integrity of data, providing reporting to the Director of Finance and Business Operations as required
- Schedule, train, supervise and motivate parent volunteers
- Build relationships with suppliers, negotiate best prices, and select products
- Work with departments on special orders and athletic uniform purchases, arrange for samples and ensure quality and prices for gifts, apparel and other materials
- Develop and implement uniform operating procedures and recommend appropriate related policies

Purchasing




- Oversee the purchasing of major furniture purchases for the school
- Build relationships with suppliers, negotiate best prices, select products and monitor quality
- Assist with preparing requests for proposals where required
- Manage the disposal of surplus goods and equipment
- Assist in establishing and implementing purchasing strategies, policies, and procedures
- Where necessary, liaise with vendors and/or user departments to resolve issues regarding material and supply problems that occur
- Investigate new opportunities for Southridge to achieve savings or efficiencies

Food Services
- Manage the relationship and assist in negotiating the cafeteria contract for the school
- Oversee the food services operations to ensure that they are run effectively and efficiently
- Act as the school liaison between the school’s food services provider and school staff for school-catered events
- Investigate and resolve complaints
- Evaluate the operations of the student food services program
- Ensure health and safety regulations are followed
- Administer the overall operation of the online ordering system, including menu and user updates, parent/student ordering, order processing and account funding,
- Provide input into the financial accounting system and provide operational and financial reporting
- Handle and resolve user issues with the online ordering and funding platform

Facilities Rentals
- Work collaboratively with the Assistant Head of School and the Director of Finance and Business Operations regarding the use of school facilities by external organizations
- Prepare and maintain facility rental agreements
- Update the School calendar with facility rental bookings
- Work with the Finance Assistant to ensure invoices are issued to vendors in a timely manner
- Submit requests for certificates of insurance and not-for-profit/charitable status documentation, as required

Other Duties




- Provide direction for the planning and promotion of business services
- Other duties as assigned

EDUCATION/EXPERIENCE/KNOWLEDGE

- Bachelor’s degree or diploma in business administration/operations or equivalent education in a related field
- Accounting background preferred
- Chartered Professional Accountant (CPA) designation considered an asset.
- Five plus years of combined experience in retail, financial/business management and food services
- One-year supervisory experience or managing volunteers in a retail environment or equivalent
- Ability to develop and nurture relationships
- Ability to work independently and as part of a team in a fast-paced environment
- Effective negotiation skills
- Proven ability to meet deadlines and perform under pressure
- Strong analytical skills with the ability to assess the performance of suppliers against an established criterion
- Superior oral and written communication skills
- Ability to manage multiple projects at a time
- Proactive and creative approach to solving problems
- Proficient in Microsoft Office and Google Suite products
- Experience in effective risk management practices is considered an asset
- Experience working in an independent school setting is an asset

The salary range for this position is $80,000. to $90,000.
