Responsibilities The Contract Administrator position is based in Burlington, Ontario. Key duties and responsibilities include, but are not limited to:

- Enter timesheets, process expense claims, and maintain document control systems.
- Implement inventory management procedures, including ordering, returns, inventory counts, and stock level monitoring.
- Coordinate vendor relationships and process invoices, purchase orders, and related documentation.
- Support project teams with contract administration, project documentation, submittals, RFIs, change orders, and project closeout activities.
- Assist with proposal preparation and administrative support for business development initiatives.
- Monitor inventory discrepancies and support loss prevention initiatives.
- Manage office supplies, equipment maintenance schedules, and administrative systems.
- Prepare reports and support compliance with health, safety, quality, and regulatory requirements.
- Coordinate facility scheduling, vendor services, and internal operational activities.
- Monitor work order completion and compliance through the CMMS system.
- Track subcontractor purchase orders and facilitate approval processes.
- Maintain and update electronic and hard-copy databases, inventories, records, and distribution lists.




- Support audits and inspections by organizing and maintaining required documentation.
- Coordinate internal communications and respond to facility-related inquiries.
- Liaise with project personnel, vendors, subcontractors, and clients as required.
- Perform other administrative and operational support duties as assigned.

Education Requirements

- High School Diploma required.
- Diploma or Degree in Office Administration, Business Administration, or a related field is considered an asset.

Experience Requirements

- Minimum 5 years of experience in an administrative or office support role.
- Experience within the construction, engineering, industrial, or related sectors.




- Experience supporting contracts, purchasing, project administration, inventory management, materials coordination, or facilities operations is considered an asset.
- Experience working within a project-based setting is preferred.

Skills, Abilities, and Other Requirements

- Strong organizational, planning, and time management skills.
- Ability to prioritize competing demands and meet deadlines in a fast-paced environment.
- High level of accuracy and attention to detail.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, OneDrive, and Teams.
- Experience with construction management software, CMMS systems, or enterprise resource planning (ERP) systems is considered an asset.
- Experience with inventory management systems is considered an asset.
- Ability to work independently and collaboratively with multiple stakeholders.
- Valid Ontario Class G Driver's License.

Compensation and Benefits The expected salary range for this role is $44,000 to $65,000 per year with a 36 hour, in office, work week. Starting salary will be determined based on the successful candidate's qualifications, skills, and experience. Base salary is one component of Clairmont Electric's total rewards package. Additional benefits may include group insurance benefits and other employee programs available to eligible employees.
