The role

We're looking for a Customer Service Representative to be the first point of contact for our customers and the voice of Climatec. We don't believe in robotic customer service — we believe in real conversations, empathy, and confidently guiding people to solutions.

Who we're looking for

Someone friendly and confident on the phone, calm under pressure, and organized enough to keep a busy, multi-task day running smoothly. Experience in HVAC or trades is an asset, but it's not the bar — we'll train the right person on ServiceTitan and everything else. What we can't teach is character. The person we're after lifts up the people around them, does what they say they'll do, and treats every caller like they matter.

Just as important: you're comfortable in a company that's actively leveling up. As we roll out new systems and processes,



some things will change and improve as we go. If you can bring a valuable attitude, roll with that, and help make it better, you'll thrive here. This is a culture-and-values fit hire first and foremost.

What you'll do

Your main job is to answer inbound calls and convert them into booked appointments, while providing an excellent customer experience. In addition to call handling and booking, you will also:

- Answer incoming calls and schedule service appointments in ServiceTitan
- Understand customer needs and document accurate job notes
- Support dispatch with updates and coordination
- Manage the shared inbox and respond to customer messages promptly
- Submit warranty claims and coordinate parts returns with suppliers
- Assist with ordering and receiving equipment and materials when needed
- Complete follow-up Happy Calls after job completion to ensure satisfaction
- Support invoicing steps and job close-out documentation
- Assist with event coordination and networking support
- Schedule technician training and track apprenticeship school plans
- Maintain a clean and professional front office space
- Provide general administrative support to management as needed

What you bring

- Strong communication and customer service skills
- Comfort working with computers and cloud-based software, and learning new tools
- Ability to prioritize and stay organized with strong follow-through
- Full-time Monday to Friday availability, 8:00am–4:30pm
- Legally eligible to work in Canada
- An open,



adaptable mindset as we continue to build and improve our systems

Nice to have (not required)

- Experience with ServiceTitan or other CRM/dispatching systems
- Customer service, admin, call center, or reception background
- Experience with vendor portals or inventory coordination
