Executive Assistant to AVP, Institutional Strategy & Director of Operations, President's Office Date Posted: 08/28/2026 Faculty/Division: Office of the President Department: Office of the President Reporting to the Office Manager & Executive Assistant to the President, the Executive Assistant to the AVP, Institutional Strategy and Director of Operations, Office of the President (Executive Assistant) supports the Office Manager & Executive Assistant to the President in preparing and managing the President’s schedule and serves as the primary scheduling and administrative support to the Assistant Vice-President, Institutional Strategies and the Director of Operations. This includes managing complex calendars; booking travel; identifying and prioritizing urgent or sensitive issues; preparing executive briefings and background materials; independently drafting complex and confidential correspondence; and ensuring Senior Leadership are informed of key decisions, operational issues, and emerging matters. The role requires strong administrative skills and sound judgment in resolving inquiries independently and redirecting issues as appropriate.
The Executive
Assistant serves as the designated back-up to both the Executive Assistant to the President and reception and correspondence units, ensuring continuity of executive support and day-to-day office operations during absences and peak workload periods. The incumbent must present a qualified image in the Office of the President by interacting knowledgeably and courteously with the many people including governors, senior administrators, faculty,
staff, students and community members who come into contact with the Office of the President. Six to Eight (6-8) years of experience supporting senior executive(s), preferably within a post-secondary or government environment.
Experience drafting correspondence, preparing briefing packages and presentations, organizing and coordinating special events. Demonstrated experience in liaising with senior administrators, responding to and handling matters of a complex, confidential and sensitive nature. Knowledge about protocol, diplomacy and an excellent understanding of the University’s mission and intersection with the broader community Demonstrated superior writing and editing skills. drafting written correspondence, minutes, proposals).
Advanced computerskills in Microsoft Office (must be able to set up templates and macros in Word and Excel, setup Excel spreadsheets and graphics, and prepare sophisticated PowerPoint presentations), andscheduling software. Familiarity with Microsoft SharePoint and TEAMS an asset. Proven effectiveness relating to all levels of the University – administration, faculty, staff, students, and external members of the community.
Excellent organizational and time-management skills. Ability to set priorities, manage multiple tasks and projects and meet deadlines. Ability to analyze information and prepare documents within theparameters set by the Senior Leaders.
Demonstrated ability to track, manage and compileinformation and data.
