Level II, Estate Administrator – Proposals
Location: Downtown Calgary or RemoteReports To: Manager, Proposal ServicesEmployment Type: Full-Time, Permanent
What You’ll Do
As a Level II, Estate Administrator – Proposals, you will be responsible for administering Consumer Proposal files and proactively resolving proposal-related matters while ensuring files are managed accurately, efficiently, and in accordance with regulatory requirements.
You will work closely with clients, creditors, and internal team members and act as a knowledgeable resource for Level I Estate Administrators. You will use your understanding of insolvency procedures and sound judgment to resolve routine and moderately complex issues, while escalating more complex matters when needed.
Key Accountabilities
Proposal Administration Administer Division II Consumer Proposal files in accordance with the Bankruptcy and Insolvency Act (BIA) and applicable Office of the Superintendent of Bankruptcy (OSB) Directives.
Ensure filing, reporting, review, revival, annulment, and amendment requirements are completed accurately and within required timelines.
Document proposal administration activities in accordance with Bromwich+Smith processes and best practices.
Use Proposal Administration dashboards and other internal tools to monitor estate files, client performance, arrears, and file status.
Follow up with clients regarding missed payments, NSFs, arrears, and other outstanding requirements.
Review and verify information for accuracy, privacy, and regulatory compliance.
Process and maintain client and estate information using applicable insolvency software.
Coordinate with internal teams to confirm creditor claims, voting information, and other details required to progress files.
Subject Matter
Expertise & Support Provide day-to-day guidance and support to Level I Estate Administrators on routine proposal administration matters.
Apply technical knowledge and judgment to identify issues and recommend appropriate solutions.
Escalate complex, unusual, or ambiguous matters to Senior Estate Administrators or leadership.
Support timely resolution of client and creditor questions.
Identify opportunities to improve workflows, tools, and administrative processes.
Contribute to a collaborative team environment by sharing knowledge and supporting consistent practices. This role may also be required to complete other duties as assigned.
Ideal Candidate Qualifications
Education Post-secondary education in business administration, finance, accounting, legal administration, or a related field is considered an asset.
Relevant insolvency training or industry education is considered an asset.
Experience Previous experience administering Consumer Proposal or insolvency files.
Experience working with the Bankruptcy and Insolvency Act, OSB Directives, or regulated administrative processes.
Experience communicating directly with clients regarding account status, payments, documentation, or file requirements.
Previous experience supporting or providing guidance to junior team members is considered an asset.
Functional Competencies
