Expected Compensation: The compensation for this position is highly variable depending upon the experience of the candidate. The overall expected compensation is $60,000 to $80,000 depending upon experience. Tierney Stauffer compensation model for administrative staff includes a bonus program for up to 10% of base salary. We are open to discussions of a higher salary band for a highly experienced law firm office manager.

Position Overview
We are seeking a permanent, full-time Office Administrator to lead day-to-day office management working with a capable existing support team of financial, administrative, billing, and client intake staff. This role reports directly to the COO/CFO and will have regular direct involvement with the partners of the firm.
The focus for this role is to help introduce positive new changes in technology and human resources activities (hiring, training, onboarding, and performance management). These changes include making the roles and tasks of lawyers and clerking staff easier and responding to requests and issues as required.
The ideal candidate will have excellent oral communication and computer skills and must be able to multi-task and work well in a fast-paced work environment.
Knowledge of LEAP software is an asset and the ability to learn the full capabilities of various legal management software systems is essential for this role, including optimizing reporting functions. Experience with other legal management software is highly valued as well as experience using new AI-driven support and research tools.
This is an ideal position for someone who has strong interpersonal and organizational skills and welcomes the opportunity to work hard and have fun while doing so.
This person will be the primary point of contact for most partners and staff in the firm for day-to-day issues and questions. They will be a key point of contact with the firm’s external IT service providers as well as compensation and employee benefits providers.
Job Duties
- Recruitment, onboarding, training coordination, performance management, and leave tracking for staff of the firm.
- Assisting clerks and lawyers with billing questions, review of WIP and accounts receivable, and assisting with central billing and collection tasks.
- Interface with IT providers and a key project member or even lead for new technology implementations and migration.
- Coordination of general operations tasks, reception, and staff oversight.
Qualifications & Skills
- Three or more years of experience in law office administration.
- 5-10 years law firm experience would be desirable.
- Prior work experience with legal software, including billing, trust transactions, and reporting. LEAP experience is desirable but not mandatory.
- Experience and high technical aptitude with new technologies, including reporting.
- Experience with HR practices in recruitment, onboarding, and staff management.
- A good understanding of legal client intake and reception.
- A good understanding of the rules and regulations of the Law Society of Ontario.
- A passionate commitment to client relations.
- High English fluency in both oral and written.
- Proven supervisory capabilities.
- Strong organization, communication, and relationship-building capabilities. Ability to prioritize tasks efficiently.
- A solid, collaborative player that works and plays well in the highly connected Tierney Stauffer team culture.
- Experience with Trust accounts and general law firm banking. Accounting experience in a legal environment would be a strong asset.
