About the Role

Our client is seeking a Project Quality Coordinator to support the execution, maintenance, and continuous improvement of project quality processes.

This role will coordinate non-conformance report closeouts, maintain controlled quality documentation, support Quality Management Plan updates, assist with internal audits, and help project teams implement required quality practices throughout project execution.

The Project Quality Coordinator will work closely with quality, project management, engineering, construction, document control, and other project stakeholders to ensure quality activities remain organized, current, properly documented, and aligned with project requirements.

This position is well suited to someone who is highly organized, detail-oriented, comfortable following up across multiple teams, and able to manage quality documentation and action items through to completion.

Key Responsibilities

- Coordinate the closeout of Non-Conformance Reports (NCRs), including tracking assigned NCRs through review, corrective action, verification, and final closeout.
- Track NCR status, aging, required actions, supporting documentation, recurring issues, and closure evidence while ensuring accurate records are maintained.
- Follow up with responsible parties to support timely completion of NCR actions, audit findings, document updates, and other quality deliverables.
- Support the development, maintenance, and ongoing improvement of Quality Management Plans (QMPs) and related project quality documentation.
- Coordinate input from quality, project, technical, and execution teams when QMP updates are required and track comments, revisions, approvals, and issued versions.
- Maintain the Master Document List for quality-related documentation, including ownership, revision history, release dates, document status, naming, versioning, filing, and access.
- Coordinate document updates and controlled releases with document control and project stakeholders.




- Identify and follow up on outdated, missing, incomplete, or inconsistent quality documentation.
- Develop and update workflows, procedures, templates, trackers, and supporting materials used in project quality and project execution activities.
- Support project teams in understanding required quality deliverables, planning inputs, readiness activities, workflows, and execution requirements.
- Develop and deliver internal training materials and presentations related to quality procedures, workflows, templates, and project quality expectations.
- Support internal audit preparation and execution, including evidence gathering, scheduling, checklist support, observation documentation, and maintenance of audit records.
- Track audit findings, corrective actions, assigned owners, due dates, closure evidence, and final closeout.
- Review front-end project setup activities to identify missing quality documentation, incomplete workflows, unclear requirements, or inconsistent application of required procedures and templates.
- Escalate unresolved quality issues, overdue actions, incomplete records, project readiness concerns, and other quality-related risks to the appropriate project or quality leader.
- Identify recurring documentation issues, workflow gaps, NCR trends, audit findings, and closeout delays and recommend practical improvements.
- Maintain quality trackers and prepare clear status updates for quality leads, project teams, and other stakeholders.
- Support project quality control by confirming required documents, workflows, templates, records, and closeout evidence are complete, current, and appropriately controlled.
- Review quality records for completeness and consistency before routing them for review, acceptance, or closeout.

Core Competencies

- Quality Coordination: Ability to manage multiple quality activities, action items, document updates, NCR closeouts, and audit actions with accuracy and consistent follow-through.
- Quality Documentation: Strong ability to read, update, maintain, and organize controlled documents, procedures, plans, trackers, revision records, and release information.
- NCR and Corrective Action Tracking:



Working knowledge of non-conformance processes, corrective actions, closure evidence, status reporting, and recurring issue identification.
- Audit Support: Understanding of internal audit preparation, evidence gathering, documentation of observations, corrective action tracking, and closeout practices.
- Document Control: Understanding of document naming, versioning, ownership, revision tracking, controlled release, filing, and records management principles.
- Project Execution Support: Ability to support project teams with procedures, workflows, templates, readiness reviews, and practical quality requirements during project execution.
- Document and Presentation Development: Ability to develop clear workflows, procedures, presentations, training materials, templates, and supporting documentation.
- Organization and Reporting: Strong organizational skills with the ability to maintain trackers, monitor deadlines, identify overdue actions, and provide clear status reporting.
- Communication: Strong written and verbal communication skills with the ability to follow up effectively with action owners and coordinate across multidisciplinary teams.
- Continuous Improvement: Ability to identify recurring quality or documentation issues and recommend practical improvements to processes, templates, workflows, and handoffs.

Education and Experience

- Post-secondary education in quality management, engineering technology, project administration, document control, business administration, or a related field is preferred.
- Experience supporting quality coordination, project quality, document control, internal audits, corrective action tracking, or project execution in an EPCM, engineering, construction, industrial, or comparable project environment is an asset.
- Experience maintaining controlled documentation, trackers, revision histories, Master Document Lists, or similar project records is an asset.
- Experience working with Non-Conformance Reports, corrective actions, audit findings, or Quality Management Plans is an asset.
- Strong proficiency with standard business software and the ability to develop qualified documents, trackers, workflows, and presentations is important.
- Equivalent combinations of demonstrated capability, education, and relevant experience will be considered.
