We are currently seeking a detail-oriented Purchasing Administrative Assistant to join our busy office team. This role is ideal for someone who thrives in a fast-paced workplace, enjoys working with data and documentation, and takes pride in keeping things organized and running smoothly.

We operate during regular business hours, Monday through Friday, with no evening or weekend work. Our business remains active year-round, providing both stability and a variety of seasonal responsibilities.

Responsibilities

Track shipments and update purchase orders daily

Communicate with suppliers regarding

· Purchase order confirmations

· Back-orders

· Missing paperwork

· Credits and returns

· Price discrepancies

· Receiving discrepancies

Coordinate with customs brokers regarding shipment delays and required documentation

Perform accurate and timely data entry

Arrange weekly local supplier pickups

Receive purchase orders and maintain U.S. purchasing spreadsheets in Excel

Enter manufactured work orders into the system

Process and file accounts payable and freight invoices

Investigate and reconcile freight damage claims





Assist with inventory control and inventory reconciliation

Source products and prepare quotations as required

Qualifications

- Minimum 2 years of experience working with a purchasing and administrative team
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Experience with document control and record management
- Proficiency with accounting software, Microsoft Excel, and Outlook
- Excellent verbal and written communication skills
- Strong customer service mindset and a professional attitude
- Positive team player with a willingness to support colleagues where needed
- Flexible, adaptable, and eager to learn
