Our client is a growing construction company known for delivering quality projects and exceptional service. They are seeking a proactive and adaptable Administrative Assistant to join their team. In this role, you will report to the General Manager supporting their day-to-day operations by managing a wide range of administrative tasks in a fast-paced, ever-changing environment.
Key Responsibilities
Answer and route incoming phone calls, greet visitors, and provide professional customer service.
Organize, maintain, and update physical and electronic files.
Prepare and send invoices; assist with light accounts payable and accounts receivable tasks.
Draft and format correspondence, reports, and other documents.
Perform photocopying, scanning, and document preparation as needed.
Assist with scheduling meetings, coordinating deliveries, and tracking project-related documents.
Liaise with vendors, subcontractors, and clients as required.
Support the team with ad-hoc administrative needs as they arise.
Required Skills & Qualifications
2–5+ years of administrative experience, preferably in a professional office environment.
Strong proficiency with Microsoft Office Suite, particularly Excel and Word.
Excellent communication skills, both verbal and written, with a qualified and friendly demeanor.
Ability to multi-task and adapt to shifting priorities—no two days will be the same.
Strong organizational skills and attention to detail.
Comfortable working both independently and as part of a team.
Positive attitude and strong customer service orientation.
Nice-to-Have Skills
Experience in the construction or real estate industry.
Familiarity with CrewTracks, QuickBooks, and/or SiteDocs.
