Our Community Support Services (CSS) team provides essential services that enable our clients to thrive. Whether their disability is physical, the result of brain injury, or aging, our more than 2,000 team members assist clients in their homes and across communities, to live as independently as possible.

This Opportunity
We are currently looking to fill a Full Time Service Office Administrator within our Community Support Services Team. This will be a remote position.

Schedule: Monday - Friday 8:30am - 4pm

Starting wage: $24.26 per hour
Hours: 35 hours per week

Duties / Functions:

Provide administrative support to the Social Enterprise-Community Support Services programs and management teams.

Assist with the preparation, submission and filing of confidential documents and internal recording systems for employee vacation and sick time records

Enter data, and prepare payroll and finance reports for program managers

Prepare invoices and purchase orders

Update and maintain program manuals and other organizational manuals as appropriate

Organize and prepare for meetings/presentations/training, including attending and taking/preparing minutes as required

Maintain and assist with continuous improvement of data collection systems to support the programs

Coordination of training and travel arrangements

Assist in preparation of documents and reports for internal purposes and funders

Liase and work with community providers to schedule all staff training.

Perform general office administrative duties such as file management/archiving, inventory maintenance for office supplies and assist with routine maintenance functions for office equipment





Assist in coordination and communications between departments

Performing special project assignments as directed; assisting and providing backup to other administrative staff within the department.

Minimum Grade 12. Business / Accounting College Diploma preferred

Minimum 3 years related administrative experience

Advanced experience in Microsoft Office; Word, Excel, and PowerPoint and the ability to learn a case management system

Experience establishing and maintaining highly effective working relationships with all levels of staff

Strong attention to detail, ability to maintain confidentiality while managing highly sensitive material with the utmost professionalism

Self-motivated, a team player, skilled at multi-tasking and independently managing and prioritizing multiple projects with limited guidance and ambiguity

Flexibility, ability to operate effectively and with composure under pressure and within time constraints

Skilled in executive-level verbal and written correspondence

Proven experience creating and managing complex spreadsheets and templates

Possess a valid driver’s licence and access to reliable vehicle

Fluency in French a strong asset
