About the Role This is a fully onsite Workplace Experience and Facilities Coordinator role supporting a skilled services environment in Vancouver.
The position sits within the Workplace Experience team and covers the full range of facilities coordination and office operations, from daily walkthroughs and maintenance coordination to meeting services and employee-facing support.
The core hours are 7:30 AM to 4:00 PM, Monday through Friday, with some flexibility needed to meet business needs.
The ideal candidate brings two to three years of experience in facilities, office administration, hospitality, or a customer-service-focused workplace setting.
They are organized, proactive, and comfortable managing competing priorities with a calm, professional presence.
They communicate clearly, handle sensitive information with discretion, and genuinely enjoy creating a welcoming, well-run environment for the people around them.
Key Responsibilities 1.
Conduct daily walkthroughs of workspaces, meeting rooms, and common areas to identify deficiencies and ensure everything is operating at a high standard 2.
Coordinate repairs, maintenance activities, and workplace service requests from submission through to resolution 3.
Manage office supplies and inventory levels, placing orders and restocking as needed 4.
Coordinate furniture moves, workspace reconfigurations, and office installations 5.
Monitor shared team mailboxes and action requests in line with established procedures and service-level expectations 6.
Respond to workplace inquiries and service requests submitted through internal service management platforms 7.
Support workplace amenities, meeting services, and office programs that contribute to a positive employee and visitor experience 8.
Collaborate with Workplace Experience team members locally and across Canada to deliver consistent, high-quality service Required Skills & Experience 2 to 3 years of experience in facilities coordination, office administration, hospitality, workplace services, or a customer-service environment Proficiency with Microsoft 365 applications including Outlook, Word, and Excel, as well as iOS devices Experience with Service
Now or a comparable service management platform, with the ability to pick up new tools quickly Excellent verbal and written communication skills Strong organizational, problem-solving, and time-management abilities Proven ability to manage multiple priorities in a fast-paced, client-focused setting while maintaining professionalism Demonstrated ability to prioritize work based on urgency and business impact Collaborative mindset with the ability to work independently and build positive relationships across a diverse stakeholder group High attention to detail and a commitment to quality outcomes Ability to handle sensitive information with discretion and maintain confidentiality Ability to lift and move items weighing up to 40 pounds Available to work onsite Monday through Friday with core hours of 7:30 AM to 4:00 PM Preferred Skills First Aid certification Prior experience supporting Workplace Health and Safety programs
