Job Description Client: Government of Nova Scotia Department of Labour, Skills and Immigration Location: Halifax, Nova Scotia 1505 Barrington Street (Maritime Centre) Position: Clerk 2 (ADM03) / Application Administration Contract: September 14, 2026 November 20, 2026 Schedule: Monday to Friday, 7 hours per day Engagement: Contract Openings: 1 Position Overview The Government of Nova Scotia is seeking a Clerk 2 (ADM03) Application Administration to provide administrative and application support to departmental programs and services.
Working under general supervision, the successful candidate will perform a variety of administrative assignments requiring knowledge and understanding of established methods, procedures, legislation, policies, rules, and regulations.
The position requires strong attention to detail, accuracy in data processing, sound judgment, confidentiality, and the ability to work independently while meeting established deadlines.
The successful candidate will be responsible for maintaining accurate records, updating information in departmental systems, processing documentation, verifying data, identifying discrepancies, and providing timely administrative support to departmental staff.
Key Responsibilities Provide day-to-day administrative support to departmental programs and services.
Process, maintain, and update records in electronic information systems and departmental databases.
Enter, review, verify, and maintain information to ensure accuracy, completeness, and data integrity .
Identify discrepancies, investigate routine issues, make appropriate corrections, and escalate complex matters when required.
Prepare, format, process, file, and distribute routine correspondence, forms, reports, and other documentation.
Maintain electronic and paper records in accordance with established procedures.
Apply established legislation, policies, procedures, standards, rules, and regulations when performing assigned duties.
Retrieve and organize information from databases and electronic systems.
Respond to routine inquiries by telephone, email, or in person and direct complex inquiries to the appropriate resource.
Assist with administrative processes, tracking, reporting, and documentation.
Maintain office records, files, supplies, and other administrative information as required.
Support expense-related administrative activities, including preparation and processing of expense claims where applicable.
Assist with maintaining office supply inventories and related administrative records.
Distribute inter-office correspondence and materials as required.
Perform other related clerical and administrative duties as assigned.
Requirements Mandatory Qualifications Candidates must meet all applicable mandatory requirements below: 1.
Canadian Work Eligibility Mandatory Must be a Canadian Citizen or Permanent Resident of Canada. 2.
Education Mandatory Completion of secondary school is required.
Post-secondary education OR a minimum of two (2) years of related experience , or an equivalent combination of training and experience. 3.
Database & Electronic Systems Experience Mandatory Demonstrated experience working with databases and electronic information systems .
Experience entering, updating, retrieving, maintaining, and verifying information within electronic systems. 4.
Data Accuracy & Integrity Mandatory Demonstrated ability to work accurately and meet deadlines .
Experience reviewing information for completeness and accuracy.
Ability to verify data integrity, identify discrepancies, resolve routine discrepancies, and escalate complex issues appropriately . 5.
Independent Work & Confidentiality Mandatory Demonstrated ability to work independently with minimal supervision .
Ability to handle sensitive or confidential information professionally and maintain confidentiality at all times.
Assets / Preferred Qualifications Experience working with LaMPSS (Labour Market Programs Support System) .
Experience working with Microsoft Lists .
Experience providing administrative support within a government, public-sector, or highly regulated environment.
Experience maintaining electronic records and databases.
Strong Microsoft Office skills, particularly Microsoft Excel, Word, Outlook, and Teams .
Experience processing forms, correspondence, reports, or other administrative documentation.
Experience identifying and resolving data discrepancies.

The candidate should demonstrate good judgment when reviewing information, identifying discrepancies, and determining when an issue should be resolved independently versus escalated to a supervisor or appropriate resource.
Candidates who have experience with LaMPSS and/or Microsoft Lists will be considered an asset.
