Litigation Float Legal Administrative Assistant – #5173
Our client is seeking an experienced Litigation Float Legal Administrative Assistant to join its team. This is an excellent opportunity for a versatile and organized LAA who enjoys working with a variety of lawyers and practice groups in a cooperative law firm environment.
The successful candidate will provide coverage and administrative support to litigation professionals as required, ensuring files and deadlines are managed efficiently while maintaining a high standard of client service.
Responsibilities
- Provide litigation administrative support to lawyers and legal teams during absences, vacations, and periods of increased workload.
- Prepare, draft, format, and proofread legal correspondence, pleadings, affidavits, applications, and other court documents.
- Assist with the preparation and filing of documents in the Supreme Court of British Columbia and other courts as required.
- Manage calendars, diarize deadlines, and coordinate court dates, discoveries, mediations, and meetings.
- Maintain and organize electronic and physical litigation files, including document management and file opening and closing procedures.
- Coordinate service and filing of court documents and liaise with court registries, process servers, and other external parties.
- Prepare and organize materials for discoveries, mediations, hearings, and trials.
- Assist with billing, time entry, expense processing, and other administrative tasks.
- Communicate professionally with clients,
opposing counsel, court personnel, and other stakeholders.
- Adapt to different lawyers' working styles and provide reliable support across multiple practice areas.
- Perform other related duties as required.
Qualifications
- Successful completion of a Legal Administrative Assistant certificate or diploma from a recognized post-secondary institution.
- A minimum of 3 years of experience as a Litigation Legal Administrative Assistant in a law firm.
- Strong knowledge of British Columbia litigation procedures, court rules, filing requirements, and deadlines.
- Experience preparing and filing litigation documents, including through electronic court filing systems.
- Excellent organizational and time management skills, with the ability to manage competing priorities and work under pressure.
- Strong attention to detail and proficiency in drafting, formatting, and proofreading legal documents.
- Excellent written and verbal communication skills and a professional, client-service-oriented approach.
- Proficiency in Microsoft Office, including Word, Outlook, and Excel.
- Experience with legal practice management and document management systems is an asset.
- Ability to work independently, exercise sound judgment, and maintain confidentiality.
- A flexible, adaptable, and collaborative attitude, with the ability to transition smoothly between different lawyers and teams.
