As the Division’s Student Services Admissions Assistant, you will support students by conveying and sharing information about the registration process for all DCS programs. A large percentage of these students are international. The position is busy, varied and the rewards are endless.

Job Summary
Reporting to the Senior Admissions Officer, the Student Services Admissions Assistant (SSAA) processes,
evalulates and conveys registration information and completion of approximately 17,000 registrations annually. A large percentage of these applicants are international students, whose first language is not English and require more time and effort.
The incumbent responds to a broad range of queries from agents, students, parents and staff, including in-person, telephone, and email communications.
Job Requirements
Experience:
3 years experience working in an administrative or clerical position in a high-volume, complex organization.
Related work experience should include:
- Familiarity with complex information systems such as financial, customer accounts or student records systems (e.g. Banner, FAST, OASIS)
- Administrative office duties include providing first-point-of contact support and customer service.
- Interpreting and/or applying policy and procedures.
- Providing exemplary customer service.
Preference will be given to applicants with experience with:
- Knowledge and understanding of the University and the Division of Continuing
- Experience gained in a post-secondary environment
An equivalent combination of education, training, and experience.
Skills:
- Advanced Microsoft office skills including Outlook, Word, PowerPoint and particularly Excel
- Demonstrated intermediate level of technical proficiency in working with computer systems, programs and data files such as SharePoint and Adobe Pro
- Excellent analytical, problem solving, quality control and attention to detail skills
- Ability to function in a highly demanding, multi-tasking environment
- Highly organized and able to manage high volumes of time-sensitive information accurately
- Excellent communication and interpersonal skills; ability to explain complex admission requirements
- Ability to maintain confidentiality, highly sensitive and private information
- Team-oriented and student-centered, with a genuine interest in student experience
- Commitment to UVic and the Division’s strategic goals regarding student recruitment and retention
- Ability to defuse tense or unpleasant situations by skillful communication and interaction
- A proven ability to handle a high volume of email and phone correspondence daily.
- Ability to prioritize and plan workload often under pressure of deadlines and interruptions in a busy environment
- Demonstrated ability to be socially and culturally responsive
Specialized Knowledge/Education:
Secondary school graduation or equivalent and some related post-secondary education.
