Role Overview:

Reporting to the Executive Director, the Accounts and Executive Assistant is responsible for ensuring the financial integrity of the company through accurate bookkeeping and financial reporting, while simultaneously maximizing the efficiency of the Executive Director through proactive executive administrative support. This role serves as the primary liaison between the Executive Office and external stakeholders, including funders, banks, donors, and partners. This is a 12 month role to cover a maternity leave.

Keys Areas of Responsibilities:

Financial Operations

- Ledger Management: Responsible for the accuracy of the General Ledger in Sage. Ensure all transactions are coded to the correct cost centers
- Accounts Payable: Manage the AP cycle; verify incoming invoices against purchase orders, secure approvals, and schedule payments (ACH/Wire/Check) within terms
- Accounts Receivable: Generate outgoing invoices within 24 hours of request; conduct soft collections on overdue accounts (30+ days)
- Reconciliation: Perform bank, credit card,



and merchant gateway reconciliations on a [Weekly/Monthly] basis. Discrepancies must be resolved within three business days
- Payroll Administration: Collate timesheets/leave data and submit to the payroll processor by the due date each pay period
- Expense Reporting: Audit employee expense claims for policy compliance and receipt verification prior to reimbursement

Executive Support

- Calendar Optimization: Manage the Executive’s schedule with full autonomy to prioritize, reschedule, and decline meetings based on strategic priorities
- Logistics & Travel: Execute end-to-end travel logistics (flights, accommodation, ground transport) strictly adhering to the corporate travel budget
- Communication Gateway: Monitor the Executive’s inbox; classify and draft responses to low-to-mid priority emails. Act as the primary contact for incoming calls and visitors
- Meeting Preparation: Compile briefing documents, financial summaries, and agendas 24 hours before scheduled executive meetings
- Attend Board meetings for note-taking and other administrative support

General Administration

- Maintain the digital and physical filing systems for corporate governance documents




- Manage office supply inventory and vendor relationships for facility management
- Participate actively in team meetings, planning sessions, and organizational development
- Contribute communications and outreach content for grant applications and reports
- Support evaluation, storytelling, and impact reporting for funders and community stakeholders
- Assist in other tasks that strengthen PALS' reach and reputation, as identified with the Executive Director

Qualifications:

Education: Post-secondary education in Business, Finance, or a related field.

Experience:

- Minimum 3 years of experience in a role that combines bookkeeping and executive assistant responsibilities
- Financial Software: Proficiency in Sage is required
- Advanced proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint)
- Possess a solid understanding of basic accounting principles (GAAP)

- Context Switching: Ability to move from analytical tasks (finance) to interpersonal tasks (EA)
- Assertiveness: Ability to ensure compliance with company expense policies with staff
