Bookkeeper & Office Administrator
We are seeking a friendly, organized, and detail-oriented Bookkeeper & Office Administrator to join our growing accounting firm.
This is an excellent opportunity for someone who enjoys a varied role that combines office administration and bookkeeping. You will play a key role in keeping the office running smoothly, maintaining accurate client records, and supporting the team.
We are looking for someone who takes initiative, enjoys working with people, is comfortable learning new systems, and takes pride in keeping things organized and accurate.
The Role:
Bookkeeping
- Maintain accurate bookkeeping records for a variety of clients using QuickBooks Online and QuickBooks Desktop.
- Record and categorize financial transactions accurately.
- Manage accounts payable and accounts receivable.
- Perform bank and credit card reconciliations.
- Review general ledger accounts and investigate discrepancies.
- Assist with payroll processing and related bookkeeping entries.
- Prepare GST/HST information and supporting schedules, as required.
- Maintain organized supporting documentation for bookkeeping transactions.
- Communicate with clients to obtain missing bookkeeping information and resolve discrepancies.
- Assist with month-end and year-end bookkeeping preparation.
- Prepare bookkeeping files and reports for review by the accounting team.
Office Administration
- Manage day-to-day office operations and help maintain an organized and professional office environment.
- Answer and direct incoming telephone calls and respond to general client inquiries.
- Manage incoming and outgoing mail, courier packages, and other correspondence.
- Schedule and coordinate client meetings, appointments, and internal meetings.
- Greet clients and provide qualified and friendly client service.
- Organize, scan, file, and maintain client documents and records.
- Assist with preparing and delivering letters and tax & accounting packages to the clients
- Follow up with clients regarding outstanding documents and information as needed
- Assist team and management with various administrative and special projects as needed.
- Maintain office supplies and coordinate general office requirements.
- Help ensure deadlines and client requests are properly tracked and followed up on.
- Maintain accurate client information and projects within CCH iFirm.
- Monitor workflow, job status, due dates, and outstanding items.
- Organize and manage client documents.
- Help ensure client files and workflow information are complete and up to date.
Experience & Qualifications
- Previous experience as an Office Administrator, or Administrative Assistant, and Bookkeeper, preferably in an accounting or professional services environment.
- 2+ years of experience in full-cycle bookkeeping or a related role required
- Strong working knowledge of QuickBooks is highly preferred.
- Familiarity with CaseWare and tax software (TaxPrep)
is an asset
- Good understanding of bookkeeping/accounting principles, including accounts payable, accounts receivable, bank reconciliations, and general ledger accounts.
- Experience with payroll and GST/HST is considered an asset.
- Strong computer skills, including Microsoft Office, Outlook, Word, and Excel.
- Excellent organizational and time-management skills.
- Strong attention to detail and commitment to accuracy.
- Ability to manage multiple priorities and meet deadlines in a busy environment.
- Strong written and verbal communication skills.
- Professional, dependable, and comfortable communicating with team and clients.
- Ability to work independently while also being a supportive member of the team.
- Willingness to learn and take on new responsibilities as the role develops.

Pay: $19.55-$32.36 per hour

Experience:
- Bookkeeping: 2 years (required)
- Office Administrator: 1 year (preferred)
Language:
- English (required)
Licence/Certification:
