The Opportunity
We are seeking an experienced, energetic, and highly capable Property Manager to oversee a portfolio of residential buildings and homes.
This is a senior, hands-on leadership role combining property operations, building maintenance, construction oversight, purchasing, project management, resident service, and leadership of the rental administration department.
The successful candidate must have three essential strengths:
- Advanced and highly proficient computer skills
- Strong practical knowledge of construction and building operations
- Above-average critical thinking, leadership, and decision-making abilities
These qualifications are mandatory and non-negotiable.
Key Responsibilities
Property and Building Operations
- Oversee the safe, efficient, and cost-effective operation of residential buildings and homes.
- Conduct regular inspections of suites, common areas, building systems, and exterior property conditions.
- Identify maintenance needs, deficiencies, safety concerns, and future capital requirements.
- Develop and manage preventive maintenance plans.
- Understand the operation and maintenance requirements of plumbing, electrical, HVAC, roofing, drainage, building envelopes, finishes, and other residential building systems.
- Assess problems, identify root causes, and determine the most appropriate repair strategy.
- Manage apartment turnovers and ensure vacant units meet company standards before occupancy
Purchasing, and Cost Control
- Identify and engage qualified trades, contractors, and suppliers.
- Obtain and evaluate competitive quotations.
- Compare quotations based on scope, exclusions, materials, qualifications, timelines, warranties, price, and overall value.
- Manage purchasing supplies, materials, equipment, contracted services, and projects.
- Issue and track purchase orders according to company procedures.
- Review invoices against approved quotations, purchase orders, and completed work.
- Monitor expenditures and identify cost savings without compromising safety, quality, or long-term building performance.
- Hold contractors and suppliers accountable for pricing, workmanship, schedules, and results.
Team and Rental Department Leadership
- Lead, coach, and hold accountable maintenance and rental administration employees.
- Establish transparent responsibilities, performance expectations, service standards, and departmental procedures.
- Monitor employee workloads, priorities, deadlines, documentation,
and service quality.
- Ensure consistent and accurate administration of tenancy agreements, renewals, notices, resident records, move-ins, move-outs, and related documentation.
- Oversee escalated resident concerns and support employees in resolving complex tenancy matters.
- Coordinate the rental and maintenance teams regarding inspections, turnovers, repairs, suite availability, and move-in readiness.
- Promote effective communication and collaboration across rental administration, maintenance, accounting, and property operations.
Resident Service
- Build meaningful relationships with residents through responsive, consistent, and professional service.
- Monitor service requests and ensure repairs are properly prioritized, assigned, documented, and completed.
- Communicate clearly with residents regarding access, repair schedules, delays, and project impacts.
- Resolve resident concerns calmly, fairly, and resourcefully.
- Minimize disruption to residents during maintenance, renovations, and capital projects.
Mandatory Computer Proficiency
Advanced computer proficiency is essential and non-negotiable. Candidates must be able to demonstrate strong technical skills during the selection process.
The successful candidate must be able to:
- Use Microsoft 365 proficiently, particularly Excel, Outlook, Word, and Teams.
- Use spreadsheets for quotation comparisons, budgets, purchasing, cost analysis, reporting, and project tracking.
- Navigate property-management, work-order, purchasing, document-management, and project-management systems.
- Work efficiently across multiple applications and digital platforms.
- Maintain accurate, complete, and well-organized electronic records.
- Learn unfamiliar software quickly and independently.
- Troubleshoot routine technical issues.
- Use technology to improve workflows, reporting, accountability, and operational decision-making.
Critical Thinking and Decision-Making
The successful candidate must demonstrate above-average critical thinking, sound judgment, and practical problem-solving ability.
This includes the ability to:
- Analyze complex building, resident, staffing, purchasing, and operational issues.
- Identify root causes rather than repeatedly treating symptoms.
- Prioritize work based on safety, urgency, resident impact, cost, and operational risk.
- Recognize incomplete information and ask the right questions before making decisions.
- Critically evaluate contractor recommendations and quotations.
- Anticipate the short- and long-term consequences of decisions.
- Develop practical solutions when existing procedures do not fully address a situation.
- Make timely, well-reasoned decisions with limited supervision.
- Recognize when specialized expertise, approval, or escalation is required.
Qualifications
- Three to five years of experience in residential property management, building operations, construction management or a comparable role.
- Strong practical understanding of residential construction, building systems, repairs, renovations, and preventive maintenance.
- Demonstrated experience managing employees and leading operational and administrative teams.
- Experience securing, comparing, and negotiating quotations from trades, contractors, and suppliers.
- Experience managing purchasing, purchase orders, invoices, budgets, and cost controls.
- Proven ability to manage repair, renovation, and capital projects from planning through completion.
- Strong understanding of tenancy administration and Ontario's Residential Tenancies Act, 2006.
- Excellent written and verbal communication skills.
- Strong organization, prioritization, and time-management abilities.
- A calm, self-aware, and resourceful approach to conflict resolution.
- Ability to meet tight deadlines while maintaining accuracy, quality, and accountability.
Ideal Candidate
You are a practical, technology-savvy leader who understands how buildings and homes operate. You can assess a problem, identify its cause, determine the best solution, secure appropriate quotations, control purchasing, and manage the work through successful completion.
You are equally comfortable leading employees, communicating with residents, reviewing a contractor's scope of work, analyzing costs in Excel, and managing several competing priorities. You take ownership, exercise sound judgment, and hold yourself and others accountable for results.
Pay: $60,000.00-$70,000.00 per year
