Education Systems Administrator – Moodle, SIS & Google Workspace

About OIHS

Ontario International High School (OIHS) is a remote learning school. We serve students online and have an office in downtown Toronto, but we do not operate a physical school. This role is therefore focused on educational software, cloud systems, integrations, data, and user support—not routers, Wi-Fi installation, on-site hardware, or school-network maintenance.

The Opportunity

We are looking for an experienced, hands-on Education Systems Administrator to strengthen the systems used by our education team. The successful candidate will administer Moodle, help implement and manage our selected Student Information System (SIS), and support Google Workspace for Education. A central part of the role will be replacing fragile custom workflows—including legacy Airtable-based processes and related forms—with established, well-supported software that is maintainable, documented, and appropriate for a growing online school.

This is not a managerial position. It is a practical systems role for someone who can take ownership, communicate clearly, solve problems promptly, document their work, and collaborate in person with the Toronto team.

Key Responsibilities

- Administer and improve Moodle, including users, courses, enrolments, roles, permissions, plugins, reporting, backups, and coordination of upgrades.
- Support the selection, implementation, configuration, and ongoing administration of the school’s SIS.
- Administer Google Workspace for Education, including accounts, groups, permissions, security settings, and service integrations.
- Plan and support data migration from Airtable-based and other legacy workflows into appropriate, proven systems.
- Build and maintain reliable integrations and automations among Moodle, the SIS, Google Workspace, forms, and other approved platforms.
- Troubleshoot issues for staff and students, communicate status clearly, and follow through within agreed timelines.
- Maintain accurate system documentation, standard operating procedures, permissions records, and change logs.

- Monitor data quality, privacy, access controls, security, backups, and business continuity across educational systems.
- Coordinate with software vendors, hosting providers, and specialized contractors while preserving internal ownership of accounts, documentation, and institutional knowledge.
- Train staff and create clear guidance for new or changed systems.
- Work from the downtown Toronto office at least two days per week and attend additional in-person sessions when a project reasonably requires it.

Required Qualifications

- At least three years of relevant experience administering cloud-based, educational, or business-critical software systems.
- Hands-on experience administering Moodle or a comparable learning management system.
- Experience with a Student Information System or another system that manages student records and school operations.
- Practical experience with Google Workspace administration; Google Workspace for Education experience is strongly preferred.
- Experience with integrations, data migration, workflow automation, reporting, or system implementation.
- Robust written and verbal communication skills and the ability to support both technical and non-technical users.
- Demonstrated reliability, organization, responsiveness, ownership, and attention to detail.
- Ability to work in a hybrid arrangement from our downtown Toronto office at least two days per week.
- Legally authorized to work in Canada.

Preferred Assets

- Direct experience working for a school, school board, post-secondary institution, or online education provider.
- Experience with Moodle hosting, configuration, performance, backups, upgrades, or server/vendor coordination.

- Familiarity with APIs, webhooks, scripting, SQL, or coding.
- Experience with additional learning management systems or student information systems.
- Knowledge of data governance, privacy, cybersecurity, and access-control practices in education.
- Experience managing a software implementation or migration from planning through launch and adoption.
- Familiarity with Slack or similar collaboration platforms.
- A genuine interest in learning new systems and improving how people work.

Compensation and Benefits

- $57,000–$80,000 annual salary, based on relevant experience and demonstrated capability.
- Employer-sponsored extended health benefits.
- An annual professional-development and training budget.
- Hybrid work with regular in-person collaboration in downtown Toronto.
- The opportunity to shape the core technology environment of a growing online school.

How to Apply

Please submit your résumé and a short cover letter explaining your relevant experience with Moodle or other learning management systems, student information systems, and Google Workspace for Education.

Please also provide two professional references, including each person’s name, title, school or organization, relationship to you, email address, and phone number. At least one reference from a school or education organization is preferred. References will be contacted only after an interview and with the candidate’s consent. We will not contact a current employer without explicit permission.

OIHS welcomes applications from qualified candidates and is committed to an inclusive hiring process. Accommodation is available upon request throughout the recruitment process.

Pay: $57,000.00-$80,000.00 per year

Benefits:

- Casual dress
