Our client is a well-established property management organization with a growing residential portfolio. They are seeking a Residential & Leasing Tenant Coordinator to join their team and take ownership of the day-to-day leasing and tenant coordination function across a portfolio of residential properties.

The Position:

As the Residential & Leasing Tenant Coordinator, you will act as a key liaison between property owners, tenants, building operations teams and internal management. You will oversee the leasing process from marketing and responding to prospective tenant enquiries through to application processing, lease execution, move-in coordination and ongoing tenant relations.

The successful candidate will be responsible for maintaining strong occupancy levels, ensuring tenant information and leasing records are accurate, supporting lease renewals and monitoring market conditions to ensure rental rates remain competitive.

Key Responsibilities:

- Manage the ongoing rental and leasing of vacant residential suites.
- Respond to prospective tenant enquiries by phone and email and provide information regarding available suites.
- Coordinate and conduct tours of available residential units.
- Process rental applications, including credit checks and reference checks.
- Prepare, complete and administer residential tenancy agreements.
- Coordinate move-ins and move-outs with the Residential Building Operator and other relevant parties.
- Manage the renewal process for suites with upcoming lease expiries.
- Complete suite inspections prior to approving lease renewals.
- Monitor tenant compliance with lease terms, including rental payments and building rules and regulations.
- Address tenant questions and concerns promptly and professionally, maintaining a high level of customer service.




- Coordinate with building operations on maintenance-related tenant concerns and ensure issues are appropriately communicated and followed up.
- Maintain accurate and up-to-date tenant and leasing information within Yardi Voyager.
- Maintain current rental listings across appropriate marketing platforms, including Kijiji, RentFaster, 4Rent and other relevant channels.
- Assess the effectiveness of various rental marketing platforms and make recommendations where appropriate.
- Regularly review competing rental properties and market conditions to assess rental rates.
- Make recommendations to the Operations Manager and senior management regarding rental rate adjustments, particularly at renewal.
- Monitor the residential rental market and provide monthly recommendations based on competitor activity and market conditions.
- Identify leasing opportunities and generate referrals for the company's existing residential portfolio.
- Support general administrative, filing and office duties related to residential property management.
- Perform other related duties as required.

The Requirements:

The ideal candidate will have previous experience in residential leasing, property management, tenant coordination or a similar customer-facing real estate role.

You will ideally bring:

- 2+ years of experience in residential leasing, property management or a related field.
- Robust knowledge of the residential leasing process, including applications, credit checks, references, lease agreements and renewals.
- Experience dealing directly with residential tenants and prospective tenants.
- Strong customer service and relationship-management skills.
- Excellent verbal and written communication skills.




- Strong organizational skills and the ability to manage multiple vacancies, applications, renewals and tenant enquiries simultaneously.
- Strong attention to detail and accuracy when maintaining tenant and leasing records.
- Experience using Yardi Voyager or another property management/leasing software platform is an asset.
- Experience with rental marketing platforms such as Kijiji, RentFaster and 4Rent is an asset.
- A good understanding of local residential rental markets, competitor properties and rental pricing.
- The confidence to make recommendations regarding rental rates and leasing strategies.
- A professional, proactive and solutions-oriented approach to tenant relations.
- The ability to work independently while collaborating effectively with property management and building operations teams.
