We are looking for a reliable, organized, and hands-on Office & Administrative Coordinator to support the day-to-day operations and serve as the primary point of contact for administrative and office-related matters. This role will support employees and management while handling a range of administrative, operational, and basic finance-related responsibilities. The successful candidate will be practical, proactive, comfortable working independently, and able to manage competing priorities in a fast-paced environment while following tasks through to completion.
Key Responsibilities
- Act as the primary administrative contact for the location.
- Manage day-to-day office activities and help ensure the office operates smoothly and efficiently.
- Answer and direct phone calls, emails, and general inquiries.
- Maintain organized records, files, and documentation.
- Coordinate office supplies, equipment, deliveries, and service providers.
- Assist employees with administrative needs and general office requests.
- Prepare documents, reports, spreadsheets, correspondence, and other materials as required.
- Assist local management with scheduling, coordination, and various administrative tasks.
- Coordinate with other company locations and departments as needed.
- Take ownership of general office issues and ensure they are followed through to resolution.
- Process and organize invoices, receipts, bills, and expense documentation.
- Assist with basic accounts payable and accounts receivable activities.
- Enter invoices and other financial information into company systems.
- Confirm hours, overtime, vacation,
and other time-related information with employees and managers as required.
- Assist with employee expense reports and reimbursements.
- Maintain accurate and organized financial records and supporting documentation.
- Work closely with local management and employees to support the daily operation of the location.
- Assist with customer, vendor, and employee inquiries when appropriate.
- Support communication and coordination between the local office and other company locations and departments.
- Take ownership of assigned tasks and ensure they are completed accurately and on time.
- Identify issues, follow up as required, and escalate matters when appropriate.
- Perform other duties as required.
The successful candidate will complete an initial training period at our central location which will provide an opportunity to learn our systems, processes, procedures, and administrative requirements, while also meeting the team and building the knowledge needed to take ownership of the local office.
Qualifications & Experience
- 1–3 years of experience in an administrative, office, accounting support, or similar role.
- Previous experience in a building materials, construction, distribution, or similar environment is an asset.
- Comfortable working with basic financial information and numbers.
- Basic understanding of accounts payable, accounts receivable, and payroll processes.
- Comfortable using Microsoft Office, particularly Excel and Outlook.
- Experience with accounting, ERP, payroll, or business management systems is an asset.
- Strong communication and interpersonal skills.
- Ability to manage multiple priorities and remain organized in a busy environment.
- Professional, organized, dependable, and comfortable taking initiative.
- Ability to work independently while knowing when to ask questions or escalate an issue.
- Comfortable handling confidential employee and company information.

Pay: $52,000.00-$58,000.00 per year
