Position: Office Administrator/Payroll Administrator
Department: Administration
Report To: CFO and Controller
Educational Requirements Preferred:
Business Administration Diploma or minimum three years related work experience.
Skills Preferred:
Typing and data entry proficiency, excellent communication skills both verbal and written,
computer skills including SAGE 300 and MISYS for Windows, Microsoft Office, and Easypay
payroll software. Basic accounting knowledge preferred, background in Human Resources
functions.
Responsibilities and Duties;
Employee Records - Maintain up to date and accurate records for all employees including,
employee addresses, required family relatives, telephone numbers, employee identification,
wages, performance reviews, training records, correspondence, discipline, medical records
and other information;
Confidentiality – All matters related to any employee under the control of this position are
extremely confidential and must be maintained strictly under the confidence of this position;
all documents relating to any employee must be kept secure under lock and key.
Time and Attendance – Daily review of attendance and creation of Monthly Attendance
Report; The summarization and documentation of Absences to all affected employees;
Discipline related to attendance;
Legal and Confidential Correspondence – Preparation and forwarding of legal and
confidential correspondence for Senior Management;
Compensation Policy - Assist in developing the annual evaluation of the Company’s
compensation policy to ensure viability, competitiveness and equitability.
Group Benefits – The accurate administration of Group Advantages; The review and annual
negotiations related to securing appropriate Group Benefits;
Payroll Preparation – The timely preparation of all Hourly and Salary payroll requirements
including data entry, and all associated reporting and respective journal entries and
accruals.
Time Guardian update weekly for payroll and daily reports;
Obligatory Tax and Employee Payments – The effective and timely payment of all obligatory
Federal and Provincial Tax and Employee Payments; Preparation of Year End payroll
summaries, T4, T4A, T5, E.H.T., and WSIB.
Production Reporting - Enter data for payroll and production reporting
Personnel and Payroll Reports - Prepare all associated reports for payroll/personnel.
Accounts Payable – The timely and accurate review and analysis of all payment contracts
and invoices to ensure that suppliers are paid in accordance with the company’s contractual
obligations; All supplier Invoices and respective payments must match the Company
Purchase Order, Supplier Bills of Lading and Receiving Documents. For Payment Invoices
and Receiving Documents must be originals only; The Entry of Accounts Payable invoices
into SAGE.
Processing of Cheques – The timely and accurate processing and creation of all cheques
for the payment of suppliers, employees and governmental institutions consistent with and
limited to the obligations of the Company;
Bank Deposits – The timely and accurate preparation and processing of bank deposit for
payments received by mail;

Other Assignments – Prepared to accept other tasks and provide assistance to others as
required and assigned
Accounts Receivables, credit applications, EFT.
Assist Controller with Month end.
Answer and direct phone calls
General office administration

Pay: $55,000.00-$60,000.00 per year
