Plumbing / Mechanical Estimator & Project Coordinator

Legacy HVAC & Plumbing Commercial Services is expanding our Commercial Construction & Projects Division and is looking for a technically minded, organized Plumbing / Mechanical Estimator & Project Coordinator.
This is an excellent opportunity for someone with commercial HVAC or mechanical construction experience who wants to develop their career in estimating and project management.
Key Responsibilities
Estimating
· Review drawings, specifications, addenda, scopes of work, and tender requirements for commercial HVAC, plumbing, and mechanical projects.
· Complete accurate material and labour takeoffs for plumbing, hydronic piping, HVAC equipment, mechanical rooms, fixtures, and related systems.
· Prepare detailed estimates, budgets, bid summaries, and proposals.
· Obtain and evaluate supplier and subcontractor quotations for pricing, scope coverage, and compliance.
· Identify exclusions, clarifications, risks, value-engineering opportunities, and potential scope gaps.
· Attend site visits, tender meetings, and pre-bid walkthroughs when required.
· Maintain current labour rates, material pricing, equipment costs, and estimating databases.
· Complete bid submissions accurately and before tender deadlines.
· Support change-order pricing and cost analysis throughout construction.
Project Coordination
· Assist with project handover from estimating to operations and field teams.
· Prepare purchase orders, subcontract agreements, equipment schedules, submittals, and project documentation.
· Coordinate equipment and material procurement with suppliers, project managers, site supervisors, and customers.
· Track shop drawings, RFIs, change orders, approvals, deliveries, deficiencies, and closeout documents.
· Monitor project budgets, committed costs, labour hours, and schedule milestones.
· Review supplier invoices and subcontractor billings against approved purchase orders and completed work.
· Maintain organized and accurate project files, correspondence, and cost records.
· Communicate schedule changes, delivery requirements, and project concerns to the appropriate stakeholders.
· Support preparation of operation and maintenance manuals, warranty information, as-built documentation, and turnover packages.
· Build productive working relationships with general contractors, consultants, owners, suppliers, subcontractors, and field personnel.
Qualifications
· Three or more years of experience in mechanical, plumbing, HVAC, or construction estimating and project coordination is preferred.
· Strong understanding of commercial plumbing, hydronic, HVAC, gas, drainage, and mechanical systems.
· Ability to read and interpret architectural, mechanical, plumbing, structural, and electrical drawings.
· Working knowledge of construction specifications, tender documents, contracts,
and change-order processes.
· Proficiency with Microsoft Excel, Outlook, Word, and construction or estimating software.
· Strong numerical, analytical, organizational, and problem-solving skills.
· Excellent written and verbal communication skills.
· Ability to manage multiple bids and active projects in a deadline-driven setting.
· High attention to detail and commitment to producing accurate work.
· Valid driver's licence and ability to attend project sites when required.
Preferred Assets
· Journeyperson Plumber, Gasfitter, Steamfitter/Pipefitter, HVAC, or related trade certification.
· Mechanical engineering technology or construction management education.
· Experience with estimating software such as Trimble Accubid, QuoteSoft, FastPIPE, Bluebeam, or similar platforms.
· Knowledge of local plumbing, gas, building, fire, and mechanical codes.
· Experience working on commercial, institutional, industrial, multi-residential, or design-build projects.
· Familiarity with BIM, AutoCAD, Procore, or other construction management systems.
