RECEPTIONIST/OFFICE ADMINISTRATOR
Horizon CPA is a mid-size professional accounting firm in downtown Vancouver, providing accounting, tax compliance, advisory and financial planning services to entrepreneurs, professional corporations and other privately-owned entities.
We're looking for a full-time Receptionist/Office Administrator to join our team. You're a tenacious self-starter who's ready to be at your desk and prepared for the day before the office opens to clients (8:30am–5pm, with a 1-hour lunch). You're a team player who understands that the details make the difference in the quality of work we present.
As the Receptionist/Office Administrator, you'll typically be the first person a client interacts with, whether in person or by phone. You'll report to the Director of Operations and work closely with Client Service Coordinators to track client file status and reduce day-to-day administrative demands on Partners and Managers.
Specific duties include:
- Greet clients, manage the firm's phone system (3CX), and coordinate firm calendars and boardrooms
- Handle incoming and outgoing mail and deliveries
- Download notices from the CRA website and distribute them to appropriate staff
- Receive, maintain, and update general client information in Karbon
- Post receipts in the firm's accounts receivable system
- Perform general office tasks: typing, printing, photocopying, scanning, and archiving
- Maintain office supplies and equipment
- Manage building-related requirements, including attending fire safety meetings and serving as floor warden
- Assist with other administrative tasks as needed, including reports, social media postings, and event planning

What You Bring
- Must be able to register for CRA Represent a Client
- Punctual, proactive, reliable, detail-oriented, and organized
- Able to work as part of a team and take direction as needed
- Resourceful and able to work independently with minimal supervision
- Above-average time management and organizational skills to meet deadlines
- Fluent written and spoken English (you'll communicate directly with clients, tax authorities, and other parties)
Desired Experience
- Minimum 1 year of experience in a professional office environment
- Experience with Karbon or similar practice management/billing software
- Proficient in Office 365
- First aid certification is an asset
- Studies in Business Administration are an asset
