Warranty & Internal Service Advisor
Alfa Romeo/Maserati of Calgary is looking for an experienced and detail-oriented Warranty & Internal Service Advisor to join our fast-paced Service Department. This role combines warranty administration with internal repair order management and is responsible for ensuring warranty claims and dealership-owned vehicles are processed efficiently, accurately, and within established timelines.
Key Responsibilities
- Process, submit, reconcile, and follow up on warranty claims in a timely and accurate manner.
- Maintain complete warranty records and documentation and resolve rejected or outstanding claims.
- Manage internal repair orders for dealership-owned, used, demonstration, loaner, wholesale, and inventory vehicles.
- Coordinate vehicle inspections, repairs, parts, technician workflow, and sublet work.
- Review technician findings and ensure repair recommendations, labor, parts, and approvals are accurately documented.
- Monitor internal repair orders from opening through completion and minimize vehicle downtime and aging.
- Coordinate with Service, Parts, Sales, Body Shop, Detail, Accounting, and Management to keep vehicles moving efficiently.
- Track vehicles awaiting inspection, diagnosis, parts, repair, approval, quality control, or release.
- Communicate warranty and internal repair status clearly and proactively to management and internal departments.
- Ensure vehicles are properly completed and meet dealership safety and quality standards before sale, delivery, or internal use.
- Support Ferrari/Maserati CPO-related processes where applicable.
- Conduct CSI follow-up calls and assist the Service Department in achieving customer satisfaction goals.
- Maintain a high level of professionalism and confidentiality.
- Perform other duties as required.
Qualifications
- 2+ years of warranty administration experience, preferably in an automotive dealership.
- Automotive Service Advisor, Technician, Parts, or dealership experience is an asset.
- Solid understanding of automotive repair and service operations.
- Familiarity with CDK and DealerConnect is an asset.
- Excellent computer and automotive management system skills.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills in English.
- Ability to prioritize multiple vehicles, repair orders, and competing deadlines.
- Ability to work effectively in a fast-paced dealership environment.
- Valid driver's licence with an acceptable driving record.
What Success Looks Like
The successful candidate will take ownership of warranty claims and internal repair orders from start to finish, maintain accurate documentation, minimize vehicle downtime, control costs, and provide proactive communication to technicians, management, and dealership departments.
