Overview
We are currently seeking a Full-Time or Part-Time Flight Coordinator. This role will ensure an exceptional level of service, accuracy, and efficiency our clients and flight crews expect.
The position requires flexibility to work mornings, days, evenings, and weekends and to participate in an on-call rotation.
What you’ll do
- Coordinate all aspects of assigned trips, ensuring client requests and operational requirements are accurate, complete and effectively communicated.
- Serve as a central point of communication between clients, flight crews, Sales, Maintenance, FBO’s, and other operational departments.
- Arrange and confirm trip requirements including airport service, ground handling, fuel, catering, transportation, customs, permits, and other passenger or crew requests.
- Prepare, review, and maintain trip documentation and ensure required information is available to flight crews and appropriate personnel.
- Monitor aircraft schedules and active flights, maintaining awareness of changes, delays, diversions, and other circumstances requiring action or follow-up.
- Maintain awareness of crew flight and duty requirements, aircraft capabilities, airport limitations, weather, NOTAMS, and other factors that may affect a trip, escalating concerns when appropriate.
- Anticipate operational changes and proactively coordinate solutions during schedule changes, irregular operations, or time sensitive situations.
- Provide exceptional customer service, responding to client requests professionally, promptly, and with attention to detail.
- Maintain accurate and timely information within company trip management and operational systems.
- Work collaboratively with other departments to support safe, efficient, and seamless operations.
- Follow company policies, procedures, regulatory requirements, and Safety Management System (SMS) processes, including reporting safety or operational concerns.
- Protect confidential client, passenger, employee, and company information.
- Take ownership of assigned tasks and trips, ensuring outstanding items are completed, communicated, or properly handed over.
- Remain adaptable and composed in a path fast-paced environment where priorities and operational requirements can change quickly.
- Contribute to a positive accountable team environment and identify opportunities to improve service, safety, communication, efficiency, and operational processes.

- Experience in aviation, dispatch, customer service, or a related field, with a strong understanding of aviation operations and coordination between clients and operational departments is an asset.
- Strong computer skills with the ability to learn and effectively use operational systems.
