Full-Time, Permanent
Starting Salary: $70,000 per year

About Us

Global Equipment Company Ltd. operates in the commercial heavy equipment industry, specializing in equipment sales, remarketing, consignments and related transactions involving trucks, trailers, construction equipment and other commercial assets.

Ontario Bailiff & Lien Registration Corp. is a commercial enforcement company specializing in repossessions, asset recovery, investigations, asset tracing, lien-related matters and enforcement on behalf of banks, leasing companies and other secured lenders.

The two companies work closely together, which makes this a unique operations position. The successful candidate will be exposed to commercial equipment, enforcement files, lender communication, vehicle and equipment documentation, MTO matters, CRM administration, lien registrations, sales, finance and remarketing.

We are looking for a strong, organized Office Operations Manager who can help keep that entire operation moving.

This is not a basic receptionist or administrative assistant position.

We need someone who can take ownership of work from start to finish. When something is assigned to you, we should not have to repeatedly ask whether it was completed. You should be comfortable figuring out the next step, following up, documenting what happened and escalating an issue when you need help.

You will work closely with our enforcement, sales, finance and management teams and will become an important part of the day-to-day operation of both companies.

Responsibilities

The position will include a combination of office operations, enforcement administration, CRM management and commercial equipment support, including:

- Completing MTO searches, documentation and related administrative work
- Assisting with vehicle, ownership, plate and registration-related matters
- Reviewing daily bailiff communications and identifying meaningful file updates
- Entering bailiff and enforcement updates into the appropriate CRM chronology
- Maintaining accurate and current enforcement chronologies and CRM records
- Monitoring open tasks, follow-up dates and outstanding file requirements
- Preparing and assisting with bailiff reports
- Preparing commercial equipment condition reports
- Reviewing photographs, documentation and file information required for reports
- Completing VIN verification and ensuring assets are matched to the correct files
- Reviewing asset information for accuracy
- Completing lien registrations and related documentation
- Preparing Notices of Intent and other lien/enforcement-related documentation
- Assisting with Notices to Sell and other administrative enforcement requirements where applicable
- Following up with government departments and registries
- Following up with lenders, vendors, customers, repair facilities and other third parties
- Tracking outstanding requests until they are resolved
- Identifying stalled items and escalating them before they become a problem




- Providing general administrative support to the enforcement team
- Supporting sales administration and organizing outstanding sales follow-ups
- Supporting equipment-finance administration and organizing outstanding finance follow-ups
- Supporting equipment remarketing and related documentation
- Helping coordinate information between sales, finance, enforcement and management
- Answering and routing incoming telephone calls
- Maintaining organized electronic records and documentation
- Helping ensure client and lender requests receive timely follow-up
- Maintaining clean, accurate and usable information across both companies
- Assisting management with day-to-day office and operational priorities

The exact responsibilities will evolve as the successful candidate learns the businesses and develops within the role.

- Comfortable taking responsibility for an assignment from beginning to end
- Able to recognize when something needs further follow-up rather than assuming the first attempt is enough
- Comfortable picking up the phone and finding an answer when email is not getting results
- Able to keep track of deadlines, next actions and outstanding information
- Confident communicating professionally by telephone and email
- Comfortable dealing with banks, leasing companies, government departments, customers, vendors and other professionals
- Able to learn new software and processes quickly
- Highly accurate when working with VINs, serial numbers, names, dates and financial or legal documentation
- Comfortable working in a fast-moving environment where priorities can change
- Able to use judgment and recognize when something needs to be escalated
- Comfortable asking questions when genuinely required without relying on management for every next step
- Someone who enjoys making things organized and keeping people accountable to outstanding items

We are not looking for someone who simply completes the first step of an assignment and waits.

If something remains outstanding, we expect you to know what has already been done, why it is outstanding, what the next step is and when it will be followed up again.

Experience

Experience in any of the following areas would be considered an asset:

- Office operations or office management
- Transportation or trucking
- Automotive or heavy equipment
- Logistics
- Equipment sales or leasing




- Financial services
- Commercial lending or equipment finance
- Collections
- Legal administration
- Enforcement or repossession
- Government or registry-related administration
- Commercial documentation
- Fleet administration

Experience with Zoho CRM or another CRM platform is an asset, but not required. We are prepared to train the right person on our systems and industry-specific processes.

Strong Microsoft Office skills and general comfort working with technology, online systems and electronic documentation are important.

What Success Looks Like

This role is successful when the rest of the team can rely on you to keep the office side of the operation moving without everything having to flow through management.

That means:

An assignment does not disappear after the first email is sent.

If someone does not respond, you follow up.

If the original route does not work, you look for another route.

If you are blocked, you escalate it.

If something has a deadline, you know when that deadline is.

If something is still outstanding, you know exactly where it stands.

If an enforcement update comes in, it gets properly documented.

If information in the CRM is missing or inaccurate, it gets addressed.

If management gives you something to own, management should not also have to remember it for you.

We want someone who eventually becomes the person the office can rely on to say:

“I’ve got it.”

Growth Opportunity

This is intended to be a long-term role.

The successful candidate will have the opportunity to learn a very specialized combination of commercial equipment, finance, enforcement, lien administration, lender relations and office operations.

As you become more knowledgeable and demonstrate that you can independently manage more of the operation, there is significant room for increased responsibility and compensation.

We are looking for someone who wants to become an important part of the businesses, not someone simply looking for their next short-term administrative position.

Compensation

Starting salary: $70,000 per year.

Compensation will be reviewed as the successful candidate develops within the role, demonstrates consistent ownership and takes on greater responsibility.

There is genuine opportunity for salary growth for someone who becomes capable of independently managing the office operations function and materially supporting the enforcement, sales, finance and management teams.

Why This Role Is Different

This is not a traditional office manager position where the day consists primarily of scheduling meetings, ordering supplies and answering phones.

One day you may be working through an MTO issue or VIN verification. The next you may be helping prepare a bailiff report, registering a lien, organizing an equipment finance follow-up, updating an enforcement chronology or tracking down information from a government department.

For someone who likes variety, learning, problem-solving and being the person who keeps things organized, there is a lot to learn and a real career to build here.
