Job Scope

The Apparel Production Coordinator supports the end-to-end production process, working closely with vendors and internal Design, Sales, Production, and Logistics teams to ensure apparel orders move smoothly from development through production and final shipment.

This role is responsible for maintaining accurate order information, tracking production timelines, coordinating samples and approvals, and proactively identifying issues that could impact quality or on-time delivery.

Key Responsibilities

- Manage daily communication and follow-up with overseas and domestic vendors regarding active production orders.
- Act as a key point of contact between vendors and internal teams, including Design, Sales, Production, and Logistics.
- Coordinate the production process from order placement through final shipment.
- Review and maintain accurate order and production information, including fabrics, colours, sizes, quantities, and other style details.
- Monitor production timelines and review weekly critical path updates to ensure key milestones and delivery dates remain on track.
- Proactively identify potential production delays, communicate risks, and work with the appropriate teams to resolve issues.
- Track and follow up on all required samples, including fit samples, pre-production samples, production samples, advertising samples,



and other customer-specific requirements.
- Coordinate approvals and ensure vendors receive the information required to proceed with production.
- Ensure apparel shipments meet applicable customer testing, compliance, and quality requirements before shipment.
- Identify discrepancies or issues related to orders and recommend practical solutions.
- Escalate production-related concerns to the Production Manager and provide clear updates during daily production meetings.
- Coordinate with suppliers and the Logistics team to ensure freight is booked on time and shipping deadlines are met.
- Maintain organized production records and ensure relevant stakeholders are kept informed of order status, changes, and outstanding action items.

Qualifications

- 2+ years of experience in apparel production, product development, sourcing, merchandising, import coordination, or a similar role.
- Experience working within the apparel, fashion, textile, manufacturing, or wholesale industry strongly preferred.
- Understanding of the apparel production lifecycle, from development and sampling through bulk production and shipment.
- Experience communicating and coordinating with vendors and/or overseas suppliers.
- Familiarity with production timelines, critical paths, samples, approvals, and shipping requirements.
- Robust organizational skills with the ability to manage multiple styles, orders, deadlines, and priorities simultaneously.
- Excellent attention to detail, particularly when reviewing order specifications and production information.
- Strong follow-up skills and ability to proactively identify and escalate potential delays or issues.
- Comfortable working cross-functionally with Design, Sales, Production, Logistics, and external suppliers.
- Strong written and verbal communication skills.
- Ability to problem-solve and remain organized in a fast-paced, deadline-driven environment.
- Proficiency with Microsoft Office, particularly Excel and Outlook; experience with ERP, PLM, or production management systems is an asset.
