Job Summary
We are seeking a dynamic and proactive Program Manager to lead our Day Program operations, ensuring the delivery of high-quality services that promote independence, engagement, and well-being for participants. In this pivotal role, the Program Manager oversees the daily operations, outreach, and administration of DDC's Day Program. This role ensures the delivery of safe, high-quality, person-centred programming while actively driving enrollment. The Program Manager leads daily client activities, maintains regulatory compliance, and markets the program to source and onboard new participants.
Duties
- Plan, implement, and evaluate daily activities that promote independence and social connection.
- Coordinate daily schedules, including group activities, meals, and community outings.
- Conduct initial client intakes, assess participant needs, and create individualized care plans.
- Ensure a safe, clean, and accessible environment that meets all physical care needs.
- Ensure standards of resident care and services are consistently achieved.
- Perform thorough assessments on residents and develop or update documentation, reports, and other records.
- Ensure the daily needs of program participants are met physically, emotionally, medically, and behaviourally.
- Provide intervention and support for challenging behaviours.
- Provide appropriate client intervention and leadership to team members during crisis and emergency situations.
- Maintain program capacity by efficiently managing client admissions and discharges.
- Perform an end-of-day closure routine.
- Supervise general upkeep of the program, including annual equipment inspections, maintenance orders, and repairs.
- Assist with purchasing of program-related equipment and supplies.
- Provide on-call support.
- Oversee invoicing for program participants, ensuring accuracy and timely submission.
- Ensure full compliance with provincial health, safety, and licensing regulations within daily program operations.
Administration & Compliance
- Maintain accurate participant records, progress notes, and incident reports.

- Maintain a strong working knowledge of RHRA (Retirement Homes Regulatory Authority) policies and training requirements.
- Manage the program budget, monitor expenditures, and approve resource purchases within approved budgets.
- Prepare weekly, monthly, and annual operational reports for executive leadership.
- Conduct monthly employee appraisals.
- Manage, create, and implement business policies and procedures, and coordinate employee orientation and training.
- In concert with the management team, contribute to strategic and goal-setting plans, recommending enhancements and policy or process changes to achieve quality improvement goals.
- Ensure the rights and privacy of clients, volunteers, and staff are maintained.
- Maintain records and provide accurate, timely statistical information as required.
- Submit and act on client incident reports; address minor complaints from the public.
- Schedule and chair staff meetings and circulate minutes.
- Keep leadership appropriately informed and seek assistance as required.
Marketing, Client Sourcing & Enrollment
- Develop and execute marketing strategies to promote the day program within the local community.
- Present DDC's Day Program to potential clients and referral partners.
- Source current clients by building referral networks with hospitals, social workers, and senior centres.
- Conduct outreach presentations, attend community health fairs, and host facility open houses.
- Manage the end-to-end enrollment process, including inquiry follow-ups and facility tours.
- Schedule new client intakes with families and work cooperatively with nurses to facilitate completion.
- Create and distribute promotional materials, newsletters, and social media content.
Community & Stakeholder Relations
- Serve as the primary point of contact for families, caregivers, and case managers.
- Collaborate with external healthcare professionals and community partners.
- Gather feedback from families to continuously improve program quality and satisfaction.
Qualifications
- Proven experience in program management within a social services or community-based setting
- Strong supervisory skills with the ability to lead diverse teams effectively
- Demonstrated expertise in budgeting and resource management
- Excellent organizational skills with attention to detail in administrative tasks
- Ability to develop engaging activities that promote participant engagement and development
- Knowledge of regulatory requirements related to day programs and community services
- Exceptional communication skills to collaborate with staff, participants, families, and external partners
Education & Experience
- Certification in Social Work, Recreation Therapy, Marketing and Business Administration.
- 3–5 years of experience in program coordination, community outreach, or healthcare sales.
- Experience working directly with adults with developmental disabilities, or other vulnerable populations.
Certifications & Requirements
- A clear and current Vulnerable Sector Screening (VSS) is mandatory.
- Current Standard First Aid and CPR Level C certification.
- Valid driver's license and access to a reliable vehicle for community marketing and client sourcing.
Skills & Competencies
- Sales & Outreach: proven ability to build networks, pitch services, and close enrollment targets.
- Communication: exceptional verbal and written communication skills for marketing copy and family relations.
- Organization: excellent time management skills to balance marketing efforts with daily operations.
- Problem Solving: ability to remain calm and think critically during crisis situations or emergencies.
Pay: $35.00 per hour
Expected hours: 24.0 per week
