Role Description The Administrative Assistant is a full time, on-site role based in Kingston, ON, supporting Scotia Wealth Management professionals in delivering exceptional client service. This role involves managing phone calls, greeting visitors, and handling routine correspondence in a professional and timely manner.

The Administrative

Assistant will coordinate calendars, schedule meetings, prepare and format documents, and maintain organized filing systems (electronic and physical). Daily responsibilities include data entry, updating client records, supporting executive-level administrative needs, and ensuring office supplies and resources are available.



The role also supports internal communication, assists with basic reporting or presentations, and collaborates with team members to ensure smooth office operations.

Qualifications

- Strong administrative assistance and clerical skills, including scheduling, document preparation, and record keeping.
- Professional phone etiquette and communication skills, with the ability to interact effectively with clients and internal stakeholders.
- Experience providing executive administrative assistance, including calendar management and meeting coordination for senior team members.
- Proficiency with office productivity tools (e.g., Microsoft Office or similar), and comfort working with databases or CRM systems.
- High attention to detail, robust organizational abilities, and capacity to manage multiple tasks and deadlines.
- Demonstrated reliability, discretion when handling confidential information, and a client-focused mindset.
- Previous experience in financial services or professional services environments is an asset.
- Post-secondary education in business administration or a related field, or equivalent combination of education and experience.
