About us:
Founded in 1960, the Youth Services Bureau of Ottawa (YSB) is one of the largest and most comprehensive non-profit agencies in Ottawa and a registered charity. It provides mental health services, employment programs, emergency shelter, community, health and housing services, and justice programs to youth in the Ottawa area, serving between 2,500 and 3,000 at‑risk individuals aged 12+ and their families every month. YSB employs 400 caring professionals in a unionized environment in over 22 locations across Ottawa.
Reporting to the Director, Lead Agency, the Project Associate contributes to the coordination and implementation of initiatives undertaken by Ottawa's Lead Agency for Child and Youth Mental Health.
Working closely with the Lead Agency team, the Project Associate helps turn plans into action by coordinating project activities, preparing presentations and planning materials, organizing engagement and training activities, facilitating conversations, maintaining project documentation, and working with community partners.
This is a collaborative, hands-on role for someone who is highly organized, comfortable working with a range of partners and professionals, and able to manage the many practical details required to keep initiatives moving forward. The Project Associate will work across multiple Lead Agency priorities and contribute to the implementation of Ottawa's Multi-Year Service Area Plan for child and youth mental health.
What you will do:
- Coordinate day-to-day activities and deliverables across multiple Lead Agency projects and initiatives.
- Work collaboratively with the Lead Agency team to implement project plans, priorities, and activities.
- Organize and coordinate meetings, consultations, training opportunities, engagement sessions, and other project activities.
- Facilitate or co-facilitate meetings and structured conversations with community partners, professionals, youth, caregivers, and other stakeholders, as appropriate.
- Develop high-quality presentations, briefing materials, meeting materials, summaries, reports, and other project resources.
- Coordinate registration processes for events, consultations, training opportunities, and other Lead Agency activities, including tracking participation and communicating with registrants.
- Maintain project work plans, timelines, action items, documentation, and follow-up activities to help ensure commitments and deliverables remain on track.
- Build and maintain positive working relationships with community partners and serve as a point of contact for assigned project activities.
- Coordinate communications and follow-up with partners, including scheduling, gathering information, distributing materials, and tracking outstanding actions.
- Gather and organize information from partners and other sources to inform planning, implementation, and project discussions.
- Assist with the development and administration of surveys, feedback processes, evaluations, and other engagement activities.
- Identify emerging operational issues, barriers, or delays and bring them forward to the appropriate Lead Agency team member.
- Contribute ideas and practical solutions that improve project coordination, communication, engagement, and efficiency.
- Assist with special projects and other Lead Agency priorities as assigned.
This opportunity may be right for you if you have:
Education and Experience:
- Post-secondary education in a relevant field such as health administration, social sciences, business administration, project management, public administration, communications, or a related discipline.
- A minimum of 2 years of experience contributing to projects involving multiple activities, timelines, partners, or stakeholders.
- A minimum of 2 years of experience coordinating meetings, events, training, consultations, or other collaborative activities.
- 2+ years of experience working with external partners and developing effective professional relationships.
- Strong knowledge and experience preparing professional presentations, reports, meeting materials, or other communications for varied audiences.
- Experience in health, mental health, social services, community services, education, or the non-profit sector is considered an asset.
- Knowledge of child and youth mental health services or the Ottawa community service landscape is considered an asset.
- Project Management certificate is considered an asset.
Knowledge and Skills:
- Strong organizational and project coordination skills, with excellent attention to detail.
- Strong interpersonal skills and the ability to build positive, collaborative relationships with a wide range of partners.
- Proficient in facilitating conversations and contributing to meetings involving multiple perspectives.
- Fluency in English and French, with excellent written and verbal communication skills in both languages.
- Strong presentation development skills and the ability to organize complex information into clear, accessible materials.
- Ability to manage multiple priorities, timelines, and competing demands in a dynamic environment.
- Demonstrated initiative and sound judgment, including knowing when issues require escalation or additional direction.
- Ability to work independently on assigned activities while contributing effectively as part of a collaborative team.
- Strong proficiency with Microsoft 365 applications, including PowerPoint, Word, Excel, Outlook, Teams, and Forms, with the ability to learn and use other digital tools as required.
- Adaptable and comfortable working in an environment where priorities and project needs may evolve.
- Ability to engage respectfully and effectively with diverse communities and perspectives.
- Ability to travel to locations across Ottawa as required for meetings, events, and project activities.
Additional Qualifications:
- Successful applicants will be required to provide a clear Criminal Record Check obtained within the past six (6) months, as a condition of employment with YSB.
- To confirm language proficiency required for this position, successful candidates may be requested to undergo an oral and written assessment conducted by a third-party provider, arranged by YSB. Candidates must meet the minimum required linguistic profile before their employment start date.
