About the Team The Broker Resources team supports agents and brokers across Canada by delivering consistent, compliant onboarding and licensing support within the Invis and MI brokerages. We focus on creating a smooth, service-first experience for our brokers while adhering to provincial legislative requirements and internal business rules.
About the Role
Reporting to the Director, Broker Resources and Licensing, the Broker Resources Coordinator is responsible for the end-to-end onboarding and offboarding of agents/brokers across multiple provinces. This role ensures accurate broker set-up, contract administration, licensing coordination, and timely support for broker system access and issue escalation. The ideal candidate is organized, detail-oriented, comfortable working in a regulated environment, and able to manage multiple priorities while delivering an excellent broker experience.
The Duties
- Coordinate end-to-end onboarding for agents/brokers across Canada, including background checks, eligibility and education reviews, licensing requirements, and documentation collection.
- Coordinate licensing activities (applications, transfers, renewals) and help ensure brokers remain in good standing with applicable regulators.
- Generate and administer agent/broker contracts and onboarding documentation in accordance with business rules and timelines.
- Complete accurate and timely broker set-ups and updates in internal systems, ensuring data integrity and proper record keeping.
- Coordinate with third-party providers to arrange required codes, tools, and system access for recent agents/brokers.
- Manage offboarding processes for agents/brokers across Canada, including required communications and system updates.
- Partner with Payroll/Finance to support collections-related coordination as required (e.g., outstanding balances and related follow-ups).
- Act as a central support contact for broker issues and triage/escalate platform concerns (e.g., Expert, BOSS, Equifax) to appropriate internal teams or vendors.
- Stay current on licensing and regulatory developments; communicate key updates to brokers and internal stakeholders to help prevent service disruption.
- Work closely with Regional Managers and Sales leadership to resolve broker needs and support operational continuity.
- Contribute to continuous process and service improvements and support special projects as needed.
The Must Haves
- College diploma or equivalent education in a related discipline.
- 2-5 years of experience in an administrative, operations, or support role in an office environment.
- Strong written and verbal communication skills with a customer-service mindset.
- Excellent interpersonal skills and the ability to build positive working relationships with brokers and internal teams.
- Demonstrated ability to manage deadlines, prioritize tasks, and handle competing requests.
- High attention to detail with strong record-keeping and documentation practices.
- Working knowledge of contracts; familiarity with employment/contract law is an asset.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and strong technical aptitude.
- Solid problem-solving and escalation management skills with consistent follow-through.
- Ability to work independently and collaboratively in a fast-paced environment.
