CAMH’s Legal Services Department identifies, addresses and manages legal needs in support of the hospital’s business and strategic objectives. Its team of legal counsel and legal administrative staff provide support to CAMH’s clinical operations, corporate services and research functions, enabling CAMH to play a role as a leader in healthcare.
The Legal Office Administrator at CAMH oversees the general operations of the Legal Department by developing, implementing and maintaining systems and procedures to ensure the effective day-to-day operations of the Legal Services office. The Legal Office Administrator also provides direct support to the Chief Legal Officer’s strategic leadership of the Legal, Risk Management, Security and Emergency Preparedness teams.
The Legal Office Administrator’s day-to-day work involves managing department financial planning and budgets, supporting space and resourcing needs, acting as a point of contact on routine human resource matters and stewarding recruitment and orientation activities.
The Legal Office
Administrator is also responsible for supporting the Chief Legal Officer with strategic leadership of her portfolio, including the creation and maintenance of Legal Office work plans, metrics and indicators, retreat planning, design and administration of surveys and occasional tasks related to special projects.
The Legal Office Administrator will have delegated people management responsibilities, primarily working with the Legal Services administrative staff supports to ensure successful implementation of the practices and processes of the Legal Department.
The Legal Office Administrator should be driven, organized and eager to improve the operations of the team, in alignment with the hospital’s broader strategic goals. This role functions as a ‘go to’ person for various challenges arising. The successful candidate is someone who is creative and motivated to seek out solutions on a diverse range of issues.
Responsibilities
- Manage department finances, budget tracking and act as the centralized intake for all legal expenses incurred by CAMH
- Provide operational support and information in human resource matters and recruitment activities
- Oversee space usage, workstation optimization and procurement of office supplies
- Create and maintain and track legal office work plans, indicators and metrics, surveys, spreadsheets, manuals and documentary processes for Legal Department operations
- Oversee Legal Administrative Support implementation of systems and processes
- Provide operational support to special projects, ensuring activities are timely and organized
- Monitor and update Legal Office information on internal intranet and external CAMH website to ensure accurate and current information.
- Oversee coordination of the Legal Office Student Program – planning, recruitment, orientation,
offboarding and participating in the Education Coordinators group through the CAMH Student Centre
- Provide assistance to the Chief Legal Officer on a range of confidential matters related to leadership of the portfolio (reports to Executive Leadership Team etc.)
- Plan team meetings and retreats for the Chief Legal Officer’s portfolio
- Provide back-up legal administrative support to Chief Legal Officer when required (calendaring, meeting support, document processing, creation of presentations, and processing of legal documents and court filings as needed)
Qualifications
- Post-secondary education in legal studies, business administration or related healthcare or social services field
- Minimum 5+ years of experience as Administrative Supervisor or Office Manager
- Experience in a healthcare, legal or social service-oriented setting is preferred
- Training in project management or accounting practices an asset
- Prior experience in recruitment and knowledge of human resource practices is an asset
- Leadership skills and/or experience with people management
- Demonstrated ability to multi-task, stay organized, work under pressure, time manage and respond to complex and sensitive issues
- Attention to detail and ability to anticipate next steps
- Creativity, resourcefulness and problem-solving skills
- Driven towards excellence in service and desires to constantly improve systems and processes
- Excellent interpersonal communication, written communication and oral presentation skills
- Ability to work independently with minimal direct supervision, and as a member of a dynamic team
- Excellent judgment, tact, diplomacy
- Ability to handle sensitive information with confidentiality and discretion
- Ability to work collaboratively with diverse internal and external stakeholders
- Detailed Proficiency in Microsoft Office Suite software, including word processing, Excel, PowerPoint, and Adobe Pro.
- Knowledge of other software systems such as I-CARE, CMSs, and an ERP (HIVE) is an asset

Compensation & Benefits:
- Hiring Salary Range: $71,460.03 – $89,325.04 per year (based on qualifications and experience)
- Full Salary Range: $71,460.03 – $107,190.05 per year (reflecting potential growth within the role)
