Logistics & Compliance Specialist

About the Role

We are looking for a Logistics & Compliance Specialist to play a key role in maintaining compliance across a transportation network spanning Canada and the United States.

This position is ideal for someone with transportation industry experience who is highly organized, detail-oriented, and comfortable working across carrier compliance, documentation, regulatory requirements, and cross-border transportation.

You will work closely with Operations, Dispatch, Customs, Management, carriers, vendors, and brokers to ensure requirements are met, documentation stays current, and potential compliance issues are identified and addressed proactively.

This is a hands-on role with significant visibility across the organization and an opportunity to become a key resource for transportation compliance and risk management.

What You'll Do

- Manage carrier and vendor compliance across Canada and the U.S., including onboarding, documentation, renewals, and audits.

- Review and maintain critical compliance documentation, including insurance certificates, operating authorities, safety records, W-9s, contracts, permits, and regulatory documentation.

- Monitor document expirations and proactively follow up with carriers and vendors to ensure renewals are completed on time.

- Verify that carriers and vendors meet internal, customer, contractual, and regulatory requirements before and throughout the relationship.

- Support the implementation and ongoing compliance requirements associated with Partners in Protection (PIP) certification.

- Monitor and interpret applicable Canadian, U.S., and cross-border transportation requirements and ensure documentation and processes remain aligned.

- Maintain accurate and up-to-date compliance records using spreadsheets,

TMS platforms, internal systems, carrier portals, and compliance tools.

- Identify documentation gaps, compliance risks, and higher-risk carriers or vendors, escalating issues to management when required.

- Work cross-functionally with Operations, Dispatch, Dock, Customs, Management, carriers, vendors, and brokers to resolve compliance issues and keep transportation activities moving.

- Support internal and external audits by ensuring records are complete, accurate, and readily accessible.

- Develop a strong understanding of the carrier network and proactively identify opportunities to improve compliance processes.

- Manage multiple priorities, deadlines, and follow-ups in a fast-paced transportation environment.

What We're Looking For

- Previous experience in transportation, freight forwarding, carrier/vendor compliance, logistics, or a related field.

- Experience with PIP (Partners in Protection) and the ability to support certification implementation and ongoing compliance.

- Strong understanding of Canadian and U.S. transportation regulations, including cross-border requirements.

- Experience working with a Transportation Management System (TMS); TruckMate experience is a strong asset.

- Strong understanding of transportation documentation, regulatory requirements, and carrier compliance processes.

- Excellent organizational and record-keeping skills with exceptional attention to detail.

- Strong follow-up skills and the ability to stay on top of multiple deadlines and renewal requirements.

- Strong written and verbal communication skills, with the ability to work effectively with internal teams, carriers, vendors, brokers, and other stakeholders.

- Strong problem-solving skills and the ability to identify potential compliance issues before they become operational problems.

- Comfortable working in a fast-paced workplace where priorities can shift and multiple matters require attention at the same time.

- Strong proficiency with Microsoft Office, particularly Excel and spreadsheet-based tracking.

What Makes You a Great Fit

You don't need to be someone who simply checks boxes and maintains files. We're looking for someone who can take ownership of the compliance function, stay ahead of deadlines, ask the right questions, and work proactively with both internal and external stakeholders.

You'll thrive in this role if you enjoy transportation, understand the importance of regulatory compliance, and take pride in keeping complex documentation and processes organized and under control.

Why This Opportunity

- Play a key role in transportation and compliance operations across Canada and the U.S.

- Work cross-functionally with Operations, Customs, Dispatch, carriers, vendors, and management.

- Take ownership of meaningful compliance responsibilities rather than performing purely administrative tasks.

- Be part of an environment where your attention to detail and ability to solve problems directly impact the business.

- Opportunity to build deeper expertise in transportation compliance, cross-border logistics, and risk management.
