Payroll & Benefits Specialist The Payroll & Benefits Specialist is responsible for the accurate and timely processing of payroll, the administration of employee benefits and RRSP programs, and the maintenance of employee records. This role also supports onboarding and offboarding activities, as well as general office administrative functions, to ensure a professional, organized, and employee-focused workplace.

The successful candidate will demonstrate exceptional attention to detail, a commitment to confidentiality, and the ability to manage multiple priorities in a fast-paced environment. The incumbent is expected to respond professionally and respectfully to departmental and employee questions and concerns regarding payroll and benefits matters.

The Payroll & Benefits Specialist will report directly to the Vice President, Finance & Business Development, with an indirect reporting relationship to the Human Resources Manager, Ontario.

Essential Duties and Responsibilities:

Payroll Administration

· Process weekly and biweekly cross-border payroll for employees in Canada and the United States with a high degree of accuracy.

· Maintain employee payroll records and ensure that all employee status changes, including new hires, promotions, transfers, leaves, and terminations, are accurately entered into ADP.

· Review and validate employee hours, overtime, vacation, sick time, and leave entitlements.

· Perform payroll calculations, adjustments, deductions, and reconciliations to ensure accuracy.

· Investigate and resolve payroll discrepancies and employee payroll inquiries.

· Prepare Records of Employment (ROEs), payroll reports, and other required payroll documentation.

· Support year-end payroll activities, including T4 preparation and reconciliation.

· Ensure compliance with applicable federal, provincial, state, and local legislation, employment standards, and company policies.

Benefits Administration

· Administer employee benefit programs, including health, dental, disability,



life insurance, and retirement savings plans.

· Coordinate benefit enrolments, changes, terminations, and employee communications.

· Support the U.S. benefits open enrolment process, as required.

· Serve as the primary point of contact for employee benefit-related inquiries.

· Liaise with benefit providers to resolve issues and ensure accurate billing and reporting

· Audit benefit plan participation, rates, and billings, and reconcile discrepancies.

· Administer the Company's RRSP program, including eligibility tracking, enrolment, payroll deductions, and record maintenance.

· Manage the ADP-to-Sun Life EDI process, ensuring timely updates, accurate data transmission, and the resolution of system errors or exceptions.

Additional

· Manage federal, provincial, state, and local payroll and benefit legislative requirements, working with internal and external providers to address compliance needs.

· Assist with onboarding and offboarding processes related to payroll, perks, and employee records.

· Support HR initiatives and projects, as required.

· Maintain office refreshments, including snacks, beverages, and kitchen supplies.

· Coordinate catering arrangements for meetings, training sessions, and company events.

· Monitor and replenish office supplies and general workplace inventory.

· Travel between locations may be required.
