Clinic Operations & Client Care Coordinator

Revival Therapeutics & Performance — Airdrie, Alberta

Employment: Full-time employee

Compensation: Based on relevant experience and demonstrated skills

Hours: 30–40 hours per week

Schedule: A recurring combination of weekday, evening, and approximately 2–3 weekend shifts per month, scheduled in advance

Revival Therapeutics & Performance is looking for an experienced, steady, and highly organized Clinic Administrator & Client Care Coordinator.

The right person will bring warmth to client interactions, sound judgment to everyday problems, and dependable follow-through to the clinic’s administrative operations. You will be a trusted connection between clients, practitioners, schedules, payments, communication, and daily clinic flow.

This position is well suited to someone who has already developed strong professional habits and takes pride in creating order, supporting others, and getting important details right.

This is a hands-on administrative and operational role. It is not a clinical treatment position or an immediate people-management position.

Your Core Responsibilities: Client care

- Welcome clients and create a calm, professional first impression.
- Answer telephone calls, emails, and client questions promptly.
- Help clients understand Revival’s services and book appropriately using established guidelines.
- Manage appointment changes, cancellations, payments, receipts, invoices, and routine billing questions.
- Communicate clinic policies kindly and consistently.
- Complete client follow-ups, waitlist outreach, and reactivation calls.

Scheduling and coordination

- Maintain accurate practitioner schedules, appointment types, rooms, and booking buffers in Jane.
- Help fill appropriate schedule openings and coordinate changes when practitioners are away.
- Document actions and outstanding items clearly.
- Provide reliable shift handoffs so another team member can continue the work.
- Resolve routine problems within established procedures and communicate early when management involvement is required.

Administrative operations

- Maintain assigned task lists and bring work to a documented conclusion.
- Support direct billing, payment reconciliation, administrative records, and basic receivables follow-up.
- Monitor clinic supplies and coordinate routine purchasing or maintenance requests.
- Support opening, closing, restocking, laundry flow,



and organized shared spaces.
- Follow privacy, confidentiality, documentation, and clinic procedures.
- Identify recurring operational problems and contribute practical ideas for improving them.

Qualifications

We are especially interested in candidates with:

- Three or more years of administrative, scheduling, coordination, or client-service experience.
- Experience in a medical, rehabilitation, dental, veterinary, wellness, hospitality, or other busy service environment.
- Strong written and verbal communication skills.
- Proven accuracy with schedules, payments, records, and confidential information.
- Experience taking ownership of problems from identification through resolution.
- Confidence learning and using digital systems.
- Reliable availability for the published schedule.

Experience with Jane, direct billing, MVA or WCB administration, ClickUp, Google Workspace, or multidisciplinary healthcare is an asset.

Equivalent experience in another complex client-service environment will also be considered.

This is an active clinic position with frequent interruptions and competing priorities. The role combines meaningful client interaction with detailed administrative work and practical clinic support, including restocking, laundry flow, and maintaining organized shared spaces.

We are looking for someone who finds satisfaction in helping a clinic operate reliably, not only in completing the most visible or interesting tasks.

Training and Development

Formal check-ins will occur during the probationary period so that expectations, progress, feedback, and support needs remain clear.

After consistent mastery of the core role, a formal development review will identify whether there is an appropriate opportunity to take ownership of a defined area such as schedule optimization, client retention, administrative quality control, onboarding support, or procedure improvement.

Any meaningful expansion in scope will be accompanied by clear expectations, authority, time allocation, and compensation review.
