Whistler Day Spa is seeking an experienced Front Desk Lead to join our team for a 7-month seasonal position.
This is a guest-facing hospitality role first and foremost, with additional responsibility for supporting daily spa operations, administrative tasks, and the team throughout the day.
You will be one of the main points of contact for our guests, helping create a warm, welcoming, and seamless experience from the moment they book until they leave the spa. As a senior member of the front desk team, you'll also be trusted to take initiative when smaller operational or staffing issues arise, help coordinate last-minute schedule changes or call-ins, and keep things running smoothly when management is not immediately available.
This role is ideal for someone with strong hospitality or front desk experience who is highly organized, dependable, calm under pressure, and comfortable taking on a little more responsibility than a traditional receptionist role.

What You'll Be Doing
Guest Experience & Front Desk Operations
- Welcome guests and provide exceptional customer service throughout their spa experience
- Answer phones, emails, texts, and online inquiries
- Manage bookings, schedule changes, cancellations, and guest requests
- Process payments and maintain accurate guest records
- Support therapists and daily spa operations
- Complete opening and closing procedures
- Help manage appointment flow and keep the spa running on schedule
- Resolve routine guest concerns and know when to involve management
- Maintain a clean, organized, and welcoming reception environment
- Help ensure every guest feels genuinely cared for from arrival to departure
Front Desk Lead & Operational Support
- Act as a reliable point of contact for the team when management is not immediately available
- Respond calmly and practically to smaller day-to-day operational issues
- Assist with staff call-ins, finding coverage, and communicating last-minute schedule changes
- Help ensure important information is communicated clearly between the front desk, therapists, and management
- Take initiative when something needs attention rather than waiting to be asked
- Support new front desk team members as they learn systems and procedures
- Help ensure front desk procedures and guest service standards are followed consistently
- Escalate larger staffing, guest, or operational concerns to management when appropriate
Administration & Organization
- Support management with scheduling, spreadsheets, documentation, and administrative projects
- Keep internal systems, guest information, and operational documents accurate and up to date
- Assist with reporting, follow-ups, inventory, and other recurring administrative tasks
- Maintain strong organization across the front desk and shared operational systems
- Identify errors, missing information, or inconsistencies before they become larger issues
- Complete assigned projects accurately and follow through without requiring constant reminders
What You Bring
- Previous experience in hospitality, tourism, wellness, retail, reception, or customer service
- Previous front desk, senior receptionist, shift lead, supervisory, or similar experience preferred
- Strong written and verbal communication skills
- Excellent organizational skills and exceptional attention to detail
- Ability to stay calm and make practical decisions when unexpected situations arise
- Strong judgement and an understanding of when to solve something independently versus involve management
- Ability to balance guest-facing responsibilities with administrative tasks and competing priorities
- Reliable follow-through and a strong sense of ownership over your responsibilities
- Comfortable learning new systems and technology
- Positive, professional, and team-oriented attitude
- Genuine interest in wellness, hospitality, and creating exceptional guest experiences
Required Skills & Experience
- Previous guest-facing customer service or hospitality experience
- Strong administrative and organizational skills
- Comfortable using computers, booking systems, email, and spreadsheets
- Confident handling guest concerns professionally
- Comfortable taking initiative and making reasonable decisions independently
- Ability to remain calm and organized in a fast-paced environment
Preferred Experience
- Previous front desk, reception, shift lead, or supervisory experience
- Spa, hotel, tourism, wellness, or hospitality experience
- Google Workspace & Microsoft Systems
- Mindbody or similar booking/POS software
- Administrative support, reporting, or inventory management

Important Information
- This is a 7-month seasonal position
- Must be legally entitled to work in Canada for the duration of the position
- We do not provide LMIA sponsorship
- Staff housing is not available
- Must be based in Whistler, Squamish, or Pemberton with secured housing
- Weekend and holiday availability is required
- Early morning and late evening shifts are required
- Schedule flexibility is important during busy periods and when unexpected staffing needs arise

Pay: $24.00 per hour
Expected hours: 30.0 – 40.0 per week
