As a Technical lead of the Program's continuous improvement, you will lead and directly contribute to initiatives aimed at improving program management communications. This role involves designing, deploying, and optimizing planning and communication tools, as well as defining, implementing, and maintaining standardized processes that foster collaboration and efficiency. The ideal candidate is not only a strategic thinker but also someone who is ready to roll up their sleeves and actively build, configure, and refine tools and workflows.
With a strong foundation in project management and process improvement, including a proven aptitude for applying Lean Six Sigma principles, you will play a critical role in driving continuous improvement, proactively managing risks, issues, and opportunities, and delivering measurable results.
Key Responsibilities
- Actively lead technical projects related to improving program management communications, directly contributing to tool design, configuration, and deployment.
- Partner with cross-functional teams to identify pain points in existing program management tools and communication practices, translating needs into actionable solutions and deliverables.
- Serve as the subject matter expert in evaluating, implementing, and customizing planning and communication tools (e.g., project management software, dashboards) to meet organizational needs.
- Create, document, and actively implement robust processes in support of streamlining program management activities, ensuring scalable and repeatable workflows.
- Drive the adoption of current tools and processes by conducting hands-on setup, configuration, testing, training, and troubleshooting, while providing ongoing user support.
- Establish and track performance metrics to assess the effectiveness of tools and processes, using this data to propose and implement further refinements.
- Proactively identify, assess, and manage project, process, and program risks, issues, and opportunities (e.g., adoption, data quality, integration, security, timeline dependencies)
by maintaining appropriate logs and registers, defining mitigation, contingency, and resolution plans, tracking actions, owners, and dates, and escalating through appropriate governance channels.
- Collaborate with IT teams and vendors to ensure seamless tool integration with broader organizational systems and technologies.
- Lead and participate in process improvement initiatives, leveraging Lean Six Sigma principles to identify inefficiencies and deliver measurable results.
- Regularly test and improve processes with a hands-on approach to process mapping, workflow optimization, and automation initiatives.
- Develop and maintain a detailed roadmap for process and tool enhancements, and actively execute high-priority initiatives with transparent timelines and accountability.
- Facilitate frequent and proactive communication with stakeholders, presenting project progress updates, addressing issues, and ensuring alignment with organizational priorities.
- Advocate for and drive a culture of continuous improvement and collaboration across the organization.
Qualifications
- Bachelor’s degree in Business Administration, Computer Science, Engineering, or a related field.
- Six Sigma certification (Green Belt or higher strongly preferred).
- Certification in project management methodologies such as PMP, PRINCE2, or PMI Agile Certified Practitioner (PMI-ACP) is an asset.
- Minimum of five (5) years of hands-on experience managing and executing technical projects, including direct involvement in the setup, customization, and deployment of program management tools.
- Demonstrated expertise in implementing and optimizing tools such as Jira, MS Project, Azure DevOps, Asana, Confluence, or similar systems.
- Strong process improvement experience with a proven ability to perform process mapping, develop standard workflows, and implement automation solutions.
- Proven ability to apply Lean Six Sigma techniques to solve inefficiencies and deliver data-driven improvements.
- Solid understanding of both Agile and predictive project management frameworks, with the ability to tailor techniques to diverse project needs.
- Expert-level proficiency in the Microsoft Office suite.
- Strong analytical skills with experience defining metrics, monitoring key performance indicators (KPIs), and driving data-based decision-making.
- Exceptional communication and interpersonal skills, with demonstrated success working with cross-functional teams and managing stakeholders at all levels.
