This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Chief of Staff based in Canada.
This is a high-impact executive leadership role supporting the Managing Director and leadership team in a complex, highly matrixed environment. The Chief of Staff acts as a trusted advisor, strategic thought partner, and organizational integrator, helping leaders stay focused on strategic priorities and commitments. You’ll connect information, decisions, stakeholders, and resources across teams while monitoring execution and surfacing risks and opportunities.
The role combines strategic planning, executive support, governance, project leadership, performance management, and organizational coordination. Success requires strong judgment, political awareness, diplomacy, and the ability to influence outcomes without direct authority. Accountabilities:
- Executive Advisory: Serve as a trusted advisor and strategic thought partner to the Managing Director and leadership team by assessing competing priorities, identifying risks, dependencies, emerging issues, and strategic trade-offs, and providing objective analysis, recommendations, and escalation support.
- Organizational Integration: Connect the Managing Director, Canada Leadership Team, Executive Team, Board, and organizational departments to ensure strategic information, decisions, issues, and materials flow effectively across the organization.
- Board & • Governance Support:
Project manage Canada’s inputs into enterprise-level and global board or leadership reporting, while coordinating the operational and logistical requirements of Canada Board governance.
- Executive Planning & • Priorities:
Manage the Managing Director’s internal and external commitments, including Board and committee materials, briefing notes, reports, presentations, meeting preparation, follow-ups, and other materials requiring executive review or approval.
- Strategic Execution: Support the development and execution of the Managing Director’s annual work plan and Canada-specific strategic priorities by coordinating cross-functional planning, monitoring progress, reporting results, addressing barriers, and supporting leadership decisions.
- Strategic Projects: Lead or provide oversight for selected high-priority initiatives, special projects, task forces, and working groups on behalf of the Managing Director.
- Performance Management: Coordinate executive reporting and dashboards by working with Finance, Strategy, and departmental leaders to consolidate performance information, support executive decision-making, and encourage continuous improvement.
- Enterprise Alignment: Translate enterprise-wide strategic priorities into Canada-specific execution plans while ensuring Canada-specific issues, insights, and opportunities are effectively surfaced to enterprise leadership.
- Budget Coordination: Oversee annual departmental budget coordination within Canada, including situations involving shared services, shared costs, or cross-entity resource allocation.
- Executive Communications: Coordinate timely and effective communications from the Managing Director, including correspondence, announcements,
presentations, talking points, speeches, and other executive communications in partnership with Communications and subject matter experts.
- Stakeholder Relationships: Build and maintain trusted relationships with department and enterprise leaders to ensure the Managing Director remains informed of significant organizational, stakeholder, operational, and reputational matters.
- Executive Representation: Attend selected internal and external meetings, briefings, and events on behalf of the Managing Director when delegated, capture key insights, coordinate follow-up actions, and ensure relevant stakeholders are appropriately briefed.
- People Leadership: Provide people management, oversight, and mentorship for administrative staff supporting the Canadian organization.
- Financial & • Vendor Oversight:
Oversee consultants, honoraria, and other expenses associated with activities managed through the Canadian budget.
Requirements
- Education: Bachelor’s degree in business administration, public administration, nonprofit management, public policy, organizational leadership, or a related discipline, or an equivalent combination of education and relevant experience.
- Professional Experience: 8–10 years of relevant experience, preferably spanning strategy execution, executive advisory support, organizational leadership, project or program management, policy, or business operations.
- Executive Project Management: Exceptional project management skills with the ability to manage complex, cross-functional initiatives, multiple senior stakeholders, competing priorities, and dynamic executive requirements while delivering consistently high-quality work.
- Strategic Judgment: Strong problem-solving, decision-making, and judgment skills, with the ability to assess complex situations, identify trade-offs, anticipate risks, and recommend effective courses of action.
- Communication: Excellent written and verbal communication skills, with experience translating complex information into compelling formats such as PowerPoint presentations, executive correspondence, Board materials, speeches, briefing notes, and decision papers.
- Performance & • Planning:
Experience developing and monitoring executive work plans, organizational priorities, dashboards, KPIs, or similar performance-management frameworks.
- Analytical Capability: Strong qualitative and quantitative analytical skills, including the ability to break down complex problems, identify patterns and strategic implications, and apply insights in a broader organizational context.
- Inclusive Strategy: Experience using inclusive and participatory approaches to strategy development, planning, decision-making, and/or budgeting with internal teams or external partners.
- Stakeholder Management: Excellent interpersonal skills, including tact, diplomacy, flexibility, and the ability to build trust and credibility with diverse stakeholder groups and influence outcomes.
- Ownership & • Resilience:
Comfortable exercising independent judgment, managing pressure, navigating ambiguity, and taking ownership of multiple priorities with initiative and resilience.
- People Management: Demonstrated experience supervising, developing, mentoring, and supporting team members.
- French Language: Proficiency in both written and spoken French is required.
- Multisector Perspective: Experience across multiple sectors is preferred, particularly exposure to public, nonprofit, social impact, regulatory, professional association, or private-sector environments.
- Strategic Frameworks: Familiarity with frameworks for strategy development, scenario planning, organizational decision-making, performance measurement, and budgeting is an asset.
Benefits
- Salary: CAD $127,000–$163,000.
