Scope And Summary Of Primary ResponsibilitiesIn covering a broad range of duties, the emphasis of this position is to utilize the electronic medical record application to register clients, gather and record client information, and to assign client records to appropriate staff, ensuring the electronic medical record workflow processes are adhered to. This position provides functional expertise within the comprehensive provision of vision rehabilitation services, using the electronic medical record application.II. Essential FunctionsThis position entails, but is not limited to the following general responsibilities:Completes and updates referrals to the GAIN programAssigns, through the electronic medical record,



the required Services and InterventionsUnderstands and able to provide information about the GAIN Program and VLRC services and resourcesFlags urgent/critical situations to Manager or other designated staffEnsures all client information is accurately entered into the electronic medical record in a timely mannerScans documents into the electronic medical record, using naming convention standardsUpdates client status in the electronic medical recordManages workload and electronic medical record caseload in effective and efficient mannerMaintains paper files in accordance with current policies and proceduresAnswers emails directed to the GAIN Program emailProvides administrative support to the managers and other team members as requiredProvides back-up coverage to administrative staff as requiredCompletes evaluation surveys for clients who do not utilize emailRelationshipsWorks both independently and collaboratively with the team and other departmentsProblem SolvingUtilizes established business rules, service standards and practices, and ensures policies and procedures are followed in a timely fashionParticipates in service evaluation and program planning processes as needed to maintain and improve service outcomesParticipates in a supportive team environment to meet the operational and team objectivesDecision AutonomyWorks under the general direction of national/divisional guidelines and standards but has latitude in making decisions on routine tasksConsults with Manager on issues that are more complex or may require upper-level approvalExercises judgment and tact when dealing with individuals and demonstrates sound judgment in when to elevate issues to the next levelCommitted to maintaining privacy and confidentialityLeadershipManages interaction and information for potential and active clients who request serviceParticipates in community information sessions and presentationsIII. QualificationsKnowledge And Skill RequirementsProficient level of knowledge in the electronic medical record application, including the management of caseloadsDemonstrated organizational and time management skillsSensitivity to the needs of persons with vision lossAbility to effectively communicate verbally and in writingDetail-oriented, with ability to enter data accuratelyProficient in the use of Microsoft Office software and database management and willingness to learn current software applicationsKnowledge of eye conditions and blindness prevention would be an assetKnowledge of the psychosocial impact of vision loss would be an assetExperience And Education3 years working experience within an administrative functionProficient typing and keyboarding skillsWork EnvironmentAbility to work flexible hoursClosing Date for Applications : September 12, 2025Notices : VLRC is committed to creating and fostering an inclusive workplace and we are committed to a fair, transparent, and accessible recruitment process.
