About Halcyon
Halcyon Logistics Inc. is a young, fast-growing BC moving and logistics company.
We're still a small team, we're growing quickly, and we're looking for people who want to get in early and grow with us.
We currently operate four specialized moving brands across British Columbia:
Vancouver Island Movers vancouverislandmovers.com
Sea to Sky Movers seatoskymoving.com
Piano Movers BC pianomoversbc.ca
Pool Table Movers BC pooltablemoversbc.ca
We also have two additional logistics brands in development for potential launch as we continue expanding into new markets and service areas.
We're still in the building stage, which means the people joining us now have a real opportunity to grow with the company and help shape how we operate.
The Role The Operations Coordinator sits right at the centre of Halcyon's day-to-day operations.
You'll be the link between our office team and our field operations, making sure information, schedules, customer requirements and operational changes get to the right people at the right time.
On one side, you'll work closely with sales, customer service and dispatch. On the other, you'll work with our movers, crew leaders and field operations team. You'll also work closely with ownership and support parts of the administrative, accounting and finance side of the business.
This is primarily a remote position, but it isn't a desk-only role. You'll occasionally spend time in the field alongside our crews and field leadership to understand what's happening on the ground, support operations and help resolve issues when needed.
It's a broad role by design.
You'll get exposure to almost every part of how Halcyon operates and become a central point of coordination across the business.
What You'll Do
This is intentionally a broad role. You'll work across different parts of the business depending on what operations need, and your responsibilities will evolve as Halcyon grows.
Operations & Dispatch
- Help coordinate daily operations, schedules, crews, vehicles and operational capacity
- Make sure field teams have the information, equipment and support they need to complete jobs successfully
- Monitor active jobs, coordinate changes and help solve operational issues as they come up
- Spend time on-site with our field teams when needed, supporting operations and staying connected to how the work is actually being carried out
- Help keep operational records, job closeouts and follow-ups organized
Sales & Customer Service
- Act as a link between sales, customer service, dispatch and field operations
- Make sure important customer and job information flows properly from the initial sale through to moving day
- Help resolve customer and operational issues that require coordination between teams
- Identify gaps or recurring problems and help improve how information moves through the business
Accounting & Finance
- Support job billing, payment tracking and job closeouts
- Help verify crew hours, expenses, invoices and other operational records
- Assist with basic job costing, reporting and financial administration
You don't need to be an accountant. We're looking for someone who's comfortable with numbers, detail-oriented and interested in understanding the financial side of running an operation.
Work Closely With OwnershipBecause we're still a small company, you'll work closely with Halcyon's ownership team.
That could mean helping investigate an operational issue one day, putting together a report the next, improving a process, helping implement a new system or taking ownership of something that simply needs to get done.
There won't always be a neat line around what belongs to which department. That's part of the role.
Our Culture & Values
We're a small company and we operate like one. Things move quickly, communication is informal, and we keep layers of management and unnecessary bureaucracy to a minimum.
You'll have quite a bit of independence. We'll train you and support you, but we're not looking to manage someone hour by hour.
Our three core values are:
- Resourcefulness – Figure it out.
- This is our most important value. You won't always know the answer and there won't always be a written process. Use the tools available to you, research, ask good questions and find a way forward. You don't need to have all the answers. You need to be someone who can find them.
- Honesty – Tell the truth.
- Be straightforward, especially when something goes wrong. If you don't know something, say so. If you make a mistake, own it.
- Ownership – See it through.
- Take responsibility for the outcome, not just the task. Follow through on what you say you'll do and don't assume someone else will take care of it.
Who We're Looking For
This role needs someone who can keep track of a lot of moving pieces without losing sight of the details.
You'll probably do well here if you're:
- Highly resourceful and naturally good at figuring things out
- Extremely organized and comfortable juggling multiple priorities
- Calm when plans change or something goes wrong
- A clear communicator who can work effectively with both office and field teams
- Comfortable making decisions and using your judgement
- Willing to get out into the field when operations require it
- Good with numbers and attention to detail
- Comfortable learning new software, systems and parts of the business
- Someone who follows through without needing to be reminded
- Honest, accountable and dependable
Experience in moving, logistics, dispatch, operations, customer service or administration is an asset, but we're primarily interested in finding someone with the right attitude and aptitude. Why Join Halcyon?
Get exposure to the whole business.
This isn't a narrow administrative position. You'll work across field operations, dispatch, sales, customer service, accounting and management, giving you a robust understanding of how the company actually operates.
Work closely with ownership.
You'll work directly with the people building the company and have an opportunity to contribute ideas, improve processes and take on increasingly important responsibilities.
Real opportunity to grow.
We're deliberately looking at this as a development role for someone with leadership potential.
As Halcyon grows, there are two natural directions this position could develop:
Operations Coordinator → Field Operations Leadership or
Operations Coordinator → Sales & Customer Service Leadership
Which direction you take will depend on your strengths, interests and performance.
The goal isn't for the right person to remain an Operations Coordinator forever. We want someone who can learn the business from the middle and eventually grow into a senior leadership position on either side of it.
Help build the company.
We're still developing systems, processes and departments. If you see something that could work better, you'll have the opportunity to help change it.
Compensation & ScheduleSalary: $70,000–$80,000/year
Employment: Full-Time
Location: Remote with occasional on-site field visits
Our Interview ProcessWe care more about attitude, judgement and how you approach problems than having the perfect resume.
Our interview process has three stages:
1. Behavioural Assessment
If your resume is shortlisted, you'll receive a link to complete a short online behavioural assessment focused on how you think, communicate and approach different situations.
2. 30-Minute Interview with Ownership
Selected candidates will have a conversation with Halcyon's ownership team about your experience, how you work and where you want to grow.
3. 30-Minute Team Interview The final stage is an informal conversation with members of the team you'll be working with. It's an opportunity for both sides to get to know each other before making a final decision.
Interested? We're looking for someone who wants more than a narrow coordinator position.
- If you're resourceful, organized, comfortable taking responsibility and interested in learning how a growing company works from the inside, we'd like to hear from you.
