Description The Arnie Charbonneau Cancer Institute in the Cumming School of Medicine invites applications for a Project Coordinator. This Full-time Fixed Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.

The University of Calgary is the lead institution for the Prairie Cancer Research Consortium (PR2C), one of the regional cancer research consortia within the Marathon of Hope Cancer Centres Network (MOHCCN). PR2C brings together cancer researchers, clinicians, patients, and health system partners across Alberta, Saskatchewan, and Manitoba to advance precision oncology and improve access to innovative cancer research and molecular profiling.

The MOHCCN is a national network of cancer centres and research partners working together to accelerate the implementation of precision oncology in Canada. A flagship project within the MOHCCN will be a precision oncology study to enable genetic profiling and return of clinically relevant results to patients and their care teams.

Reporting to the Arthur Child Precision Oncology Initiative Program Manager, the Project Coordinator will be responsible for clinical data curation, data management, reporting, coordination of project activities, meetings, team communications, and providing administrative support for the project.

Summary of Key Responsibilities (job functions include but are not limited to):

Clinical data curation, data management, and reporting:

- Prioritize and perform detailed chart reviews of electronic medical records to collect, validate, and enter clinical information into an existing database
- Extract, abstract, and code relevant patient demographics, diagnoses, treatments, procedures, laboratory results, and outcomes from medical records according to established protocols
- Monitor the program database and communicate with team members and stakeholders regarding missing, incomplete, or outstanding data elements
- Update and maintain program dashboards, reports, and tracking tools to support program monitoring and performance measurement
- Identify discrepancies, data quality concerns, and documentation issues, ensuring the accuracy, completeness, and consistency of data, and escalate issues as appropriate

Privacy, confidentiality, and compliance:
- Handle sensitive study participant health information in accordance with applicable privacy legislation, organizational policies, and data governance standards
- Maintain strict confidentiality and security of all participant records and program data
- Ensure all data collection, storage, and reporting activities comply with ethical, regulatory, and institutional requirements

Collaboration and communication
- Collaborate with clinicians, researchers, and program staff to support accurate data capture
- Respond to inquiries related to data quality, completeness, and reporting requirements
- Attend and participate in regular team meetings to support the project team and keep track of progress related to data collection and management workflows
- Serve as a project contact for the GenerationAll Program with internal and external stakeholders

Coordination and administrative support
- Coordinate Molecular Tumour Board meetings,



including scheduling, attendee coordination, agenda preparation, and distribution of meeting materials
- Liaise with clinicians, pathologists, molecular scientists, bioinformaticians, and other stakeholders to ensure required data and documentation are available prior to meetings
- Track case submissions, timelines and deliverables, meeting outcomes, recommendations, and follow-up actions to support program evaluation and reporting
- Maintain records and documentation associated with Molecular Tumour Board activities in accordance with privacy, confidentiality, and data governance requirements
- Support the clinical lead(s) of the Molecular Tumour Board in communicating outcomes of discussions, decisions, and recommendations to relevant team members

Qualifications / Requirements

- Bachelors degree in Health Sciences, Health Information Management, Nursing, Biological Sciences, Public Health, Health Data Science, or a related degree
- Minimum 3 years of related experience in clinical data management, health research, healthcare administration, or a related environment. Preference for oncology/cancer-related experience
- Experience reviewing and extracting information from electronic medical records (EMRs) with a high degree of accuracy and attention to detail
- Experience managing, maintaining, and quality-checking large clinical datasets and databases
- Experience with ConnectCare and REDCap or other clinical data management systems; experience with additional research databases is considered an asset

- Understanding of medical terminology, clinical documentation, and oncology-related terminology is considered an asset
- Knowledge of institutional, ethical, privacy, and legal requirements related to the collection, management, and use of patient-derived clinical data
- Strong interpersonal skills with the ability to build productive relationships and foster collaboration among internal and external stakeholders
- Experience facilitating a large group of collaborators and researchers with competing interests and priorities
- Demonstrated ability to work independently, exercise sound judgement, and effectively problem solve
- Demonstrated organizational and project coordination skills, including the ability to manage multiple priorities and competing deadlines, being responsive to evolving project and program needs
- Experience coordinating multidisciplinary meetings or working with diverse groups of clinicians, researchers, and healthcare professionals
- Excellent written and verbal communication skills, including the ability to prepare meeting materials, minutes, and reports
