Position Overview The Ministry of Public and Business Service Delivery and Procurement is seeking a Senior Information Management Specialist to provide expert information management knowledge, analysis, advice, and guidance to Ministry and Cluster clients.
The successful candidate will have strong knowledge of information architecture, metadata management, taxonomy development, classification structures, records management, information governance, content management, and information lifecycle management.
The role will support digitization, migration, modernization, records conversion, information governance, privacy, and information management initiatives involving both structured and unstructured information.
Key Responsibilities
Information Management &
- Governance
- Provide expert knowledge and advice on information management best practices, approaches, standards, methodologies, and emerging trends.
- Apply comprehensive knowledge of the information lifecycle to provide practical information analysis, expertise, and guidance.
- Assess business requirements and establish information management needs across areas such as recordkeeping, access, privacy, and information governance.
- Develop information management frameworks, governance processes, standards, guidelines, and best practices.
- Support information governance requirements for structured and unstructured information.
- Identify information security and privacy classification requirements and support their implementation within unstructured data applications.
- Apply recognized national and international standards relating to recordkeeping and information management.
- Support planning and implementation of information management strategic goals and priorities.
Records &
- Document Management
- Develop document management protocols, guidelines, and best practices, including:
- Business rules

- Develop business and records classification schemes using function-based classification methodologies.
- Assess and define metadata requirements.

- Modernization
- Support digitization, migration, modernization, and records conversion initiatives.
- Assist with the modernization of legacy records, documents, and repositories.
- Support document management, records management, case management, enterprise content management, and related information management solutions.
- Assess information management gaps and risks associated with legacy information environments.
- Recommend improvements to information management processes, systems, and repositories.
Business Analysis &
- Strategic Planning
- Conduct business analysis to establish information management requirements.
- Develop business cases related to information management initiatives.
- Analyze business requirements and translate them into practical information management solutions.
- Conduct research and environmental/jurisdictional scans related to information management.
- Support business and information architecture activities.
- Conduct business process mapping, maturity assessments, and related information management analyses.
- Develop and track information management performance measures.
- Identify gaps, risks, opportunities, and areas for improvement.
Privacy, Security &
- Compliance
- Support information security and privacy classification activities.
- Provide guidance related to applicable privacy legislation, including FIPPA.
- Incorporate accessibility requirements, including AODA, into information management activities.
- Lead or support the development of Privacy Impact Assessments (PIAs).
- Ensure information management practices align with applicable OPS policies, standards, legislation, and governance requirements.
Training &
- Knowledge Transfer
- Assess information management training and awareness needs.
- Develop training curricula and communication plans.
- Deliver information management awareness, concepts, principles, and best-practice training to diverse audiences.
- Provide routine advice and guidance on information management concepts and principles.
- Develop guidance materials and documentation for technical and non-technical audiences.
