New Age Services (NAS) is seeking a highly organized, professional, and customer-focused Business Services Associate to support the daily operations of our organization. As the first point of contact for employees, individuals receiving services, families, contractors, community partners, and visitors, you will play a key role in creating a welcoming and professional experience while ensuring administrative, operational, and communication functions run efficiently.

This position is ideal for someone who thrives in a fast-paced environment, enjoys balancing multiple priorities, has exceptional organizational skills, and is passionate about providing excellent customer service. The successful candidate will contribute to the smooth operation of our office while supporting organizational communication, events, records management, and business services functions.

Key Responsibilities

Reception & Administrative Support

- Welcome and assist guests, visitors, and stakeholders in a professional and courteous manner.
- Respond to inquiries received by phone, email, website contact forms, and other communication channels.
- Process incoming and outgoing mail, deliveries, courier packages, invoices, and correspondence.
- Maintain accurate filing systems, records, and administrative databases.

Financial & Asset Administration

- Process cash and cheque payments according to organizational procedures.
- Track and reconcile receipts for petty cash, corporate cards, and other approved payment methods.
- Issue, monitor, and maintain records for organizational assets, including keys, fobs, identification cards, first aid kits, access cards, and other assigned resources.
- Coordinate the return of company property and maintain accurate asset inventories.

Office & Facility Support

- Monitor and order office, kitchen, and operational supplies.
- Prepare meeting rooms and support organizational meetings and events.
- Assign lockers and maintain related documentation.
- Ensure common office areas remain organized, professional, and welcoming.

Records & Systems Administration





- Create employee identification cards using approved systems and templates.
- Maintain physical and electronic records in accordance with organizational standards.
- Update authorized systems, distribution lists, and databases as required.
- Maintain administrative manuals, tracking logs, filing systems, and organizational records.

Communications & Engagement

- Prepare and distribute internal and external communications, notices, newsletters, posters, and promotional materials.
- Create and schedule social media content supporting organizational events, awareness campaigns, celebrations, and community engagement.
- Assist with communication planning, calendars, RSVP tracking, and attendance coordination.
- Support employee recognition, appreciation initiatives, and engagement activities.
- Ensure communications reflect NAS's brand, values, and professional standards.
- Utilize tools such as Canva and social media platforms to develop engaging visual and written content.

Event & Project Support

- Assist with the planning, coordination, setup, and follow-up of organizational events and activities.
- Support operational projects, audits, inventory management, documentation reviews, and process improvement initiatives.
- Maintain inventories, master lists, consent records, archives, and tracking systems.

General Responsibilities

- Maintain confidentiality and safeguard sensitive information.
- Ensure compliance with organizational policies, procedures, legislative requirements, health and safety standards, and accreditation requirements.
- Support contractors, employees, and visitors in adhering to organizational protocols.
- Perform other administrative and operational duties as assigned.

Qualifications

- Post-secondary education in Business Administration or a related field.




- Minimum 1-2 years of administrative or related experience.
- Strong organizational, time management, and problem-solving skills.
- Excellent customer service and interpersonal communication skills.
- Proven ability to manage competing priorities in a fast-paced environment.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office applications and administrative systems.
- Experience with Canva, social media platforms, digital communications, and content creation is considered a strong asset.
- Ability to communicate professionally and confidently with individuals at all levels of the organization.

Position Details

This is a permanent position reporting to the Executive Administrator. The regular schedule is Monday to Friday from 8:30 a.m. to 3:30 p.m and 35hr per week. The starting wage is $20.00 to $23.00 per hour, based on qualifications and experience. Occasional flexibility to support evening or weekend events may be required. Successful candidates must complete all mandatory training requirements upon hire and maintain them throughout employment. A Police Information Check with Vulnerable Sector Search and Intervention Record Check are required as conditions of employment.
